Position: Office Admin Manager and CEO Assistant
Reports to: CEO
Location: Stockholm




Responsibilities:
Main Duties/Key Responsibilities

· Responsible for the overall office environment.
· Responsible for all office, apartment logistics, including materials and equipment (fax, printers, photo-copier, telephones, stationary)
· Responsible for ensuring that the office is always kept to high standards of professionalism and ensuring that any landlord in complying with their responsibility towards cleaning, health and safety.
· Fielding paper, electronic and telephone queries on behalf of CRTG Sweden and acting as point of liaison for all colleagues inside CRTG Sweden, and external to the organization such as clients, visitors, customers, partners, government institutions, and professional bodies.
· Collating, recording and paying office and logistical bills as directed.
· Filtering incoming post and other correspondence.
· Meeting and greeting all visitors in a professional and courteous manner.
· Booking travel, hotel accommodation and organizing meetings and events as required.
· Drafting a wide range of communication such as notes and letters, and producing report documentation as required.
· Producing documentation as directed.
· Attending meetings as directed and taking minutes as appropriate.
· Provide comprehensive administrative support to the local teams wherever possible.
· Responsible for overall admin to assist CEO daily work, last check and control of the contract signing.
· Any other responsibilities instructed by GM,draft report to HQ etc.


Essential Skills and Experience


· More than 5 years + experience in administration or office management
· Good experience of working in a cross cultural office environment,Fluent Mandarin and English
· Excellent verbal communication skills, presentation skills,write report skills
· Excellent numerical skills – particularly in record keeping and financial management
· Highly professional manner, with the ability to greet people at all levels and make them feel comfortable within the office environment.
· Strong organizational and co-ordination skills
· Highly flexible
· Highly proficient in the use of all Microsoft Office packages.
· Self motivated and able to take responsibility.
· Organized and effective time manager, able to deliver work on time to a consistently high standard
· Good interpersonal skills in terms of influencing, negotiating and listening
· High levels of integrity and used to having access to and processing confidential information
· Calm under pressure and able to juggle a variety of tasks at one time
