Arbetsbeskrivning
We are now looking for a Administration Assistant/Paralegal to our office in Malmö. You will be a part of the Global Legal Department and the position will rapport to Head of Legal, Nordics & Baltics. The role will require some occasional travel within host country & Zone.
Key responsibilities are:
Invoicing
- Regular recording of invoices, management of accruals & payment follow up.
- Prepare monthly, quarterly & annual reports on spend by country & function.
- Analyse performance compared to targets & rolling forecast.
Systems
- Organize, use & maintain Sharepoint/Knowledge Portal.
- Help develop systems to reduce duplication & improve document management.
- Generally improve the efficiency of general admin within the team.
Paralegal
- Assist the lawyers with scheduling & preparation for important meetings (including the preparation of papers & agendas).
- Act as minute/note-taker.
- Ensure that actions from meetings are noted & followed up.
- Coordinate, proof read, assemble, organize & finalize legal documents for execution by Directors & Management.
General Secretarial
- Provide a shared secretarial support to a team of 11 lawyers located across the Zone.
- Maintain electronic diaries & ensure effective use of the diary system by the lawyers as well as scheduling meetings, producing agendas & minutes.
- Help arrange delivery of training & roll-out of compliance programs to various businesses across the Zone.
- Manage general administration including IT, stationary, purchasing & day to day functions.
- Point of contact for internal & external customers both over the phone & face to face. This involves answering queries, arranging any meetings that are needed as well as taking & delivering phone messages.
- Other routine admin such as post, scanning & photocopying.
Qualifications that we require are:
- Ideally a diploma or degree in business/accounts.
- Able to touch type, quickly & accurately with an excellent level of English grammar & spelling.
- Excellent competency in Microsoft Office (Word, Excel & PowerPoint are used daily) & SharePoint.
- English (Fluent). Other languages are preferred but not essential.
- Previous experience required, preferably within the legal industry (private practice or in-house).
Your personality is the key to successes in this position. As a person, you have a professional appearance & attitude and loves working within a busy office.
You are customer focused with excellent organisational skills and have great communication & interpersonal skills.
