The Stockholm International Peace Research Institute (SIPRI) is seeking an Administrative Assistant to join the Environment of Peace initiative.
SIPRI is one of the world’s foremost peace research institutions and has done much in recent years to bring the linkage between climate change and insecurity to a higher place on the agendas of policymakers, practitioners and researchers.
The Environment of Peace initiative is a flagship project that aims to increase understanding of how climate change and other environmental crises increase risks to peace and security. It will publish a major report in May 2022, 50 years after the landmark United Nations Conference on the Human Environment (the Stockholm Conference). The Environment of Peace team is made up of around 30 researchers and guided by a panel of respected international experts, chaired by Margot Wallström, Former Swedish Minister for Foreign Affairs, European Commissioner for the Environment and UN Special Representative on Sexual Violence in Conflict.
A small secretariat is responsible for managing the project – and undertakes a wide range of tasks including coordinating the work of the research team, developing communication and outreach plans, managing the production of the final report, and liaising with the international panel. The Administrative Assistant sits at the heart of this team, providing day to day support to the Project Lead and supporting the administration and management of all aspects of the project.
The Administrative Assistant will be responsible for:
• Event/meeting/workshop support, including planning, partner outreach, logistics and on-site support and reporting;
• Budget and finance support, including reporting, forecasting and liaison with external contracted consultants;
• Document management and maintenance, including proposals, schedules and project plans, budgets, donor reports and referencing software
• Internal communications, including meeting agendas and minutes, scheduling and coordination between stakeholders;
• Liaising with communications, editorial and external counterparts for the delivery of the final report.
Requirements
The successful candidate will have as a minimum the following experience:
• A university degree or degrees, in administration or disciplines/topics relevant to the Environment of Peace project, such as international relations, environmental governance, peace, risk management, security;
• 1-2 years of professional experience in administration and event assistance;
• Demonstrated ability of effective project assistance skills and coordination; experience in events, large projects and/or in providing administrative support to large, high-level conferences;
• Ability to work and deliver high quality work within small teams under high pressure.
• Working knowledge of Swedish is desirable but not essential.
• Experience of working in a policy making environment is also advantageous.
Contract period
This post is a maternity cover. We are looking for someone who can begin at the start of February 2022. The appointment will be for 12 months. The post is full-time. The salary package will be negotiated individually.
The position is based in Stockholm and may include travel for the purposes of, inter alia, meeting with donors or assisting with regional launches. This requirement must, of course, be balanced by the need to be present in the institute and taking part in activities there, as well as by the larger need for work-life balance.
Given the short contract period, the successful candidate must currently reside and be registered in Sweden.
