We are searching for someone with proven experience as an administrative assistant/secretary, preferably in a multicultural working environment for a well-known EU-agency. About the position
Perido is looking for an Administrative Assistant to a client of ours – an independent and important agency of the European Union. The staff at this office is working in a hybrid way at the moment, with a minimum of two days per week in the office. In this role it could mean that for certain meeting days, presence is needed. The office is located just north of central Stockholm.
Your daily tasks
In this role, you will provide general administrative support for the Scientific Methods and Standards Secretariat. This includes:
Organizing and coordinating internal meetings including minute taking.
Coordinating incoming and outgoing request for information.
Drafting routine correspondence, sending reply, and registering documents.
Coordinating mission requests and travel claims.
Coordinating documents for approval and signature.
You will also support in meetings including:
Drafting and coordinating request for goods and services.
Support budget planning for meetings/business travel.
Coordinating with participants and other stakeholders.
On-site support/hybrid meeting support: liaise with audio-visual support team, registration of participants, arrangement of facilities and technical requirements, and preparation of meeting documents.
Back up other secretariat team members as needed.

We believe that you are able to work with quality, even during times of pressure and that you keep a high level of discretion and are able to handle confidential information. Furthermore, you are a true team player who knows how to communicate efficiently at all levels, internally and externally.

Requirements
Proven experience as an administrative assistant/secretary, preferable in a multicultural working environment
Post-secondary education
High level of service orientation; excellent customer service focus
Ability to interface with staff at all levels, both verbally and in writing
Ability to plan and organize daily work routine and establish priorities for completion of work
Ability to handle a variety of customer service issues with tact, confidentiality, and diplomacy and in a confidential manner
Excellent knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
Excellent command of English, both written and spoken
Contract type and hours
Full time. Consulting assignment until 2022-12-31. Start immediately.
