Are you a problem solver with experience working with archiving? Do you want to be part of a fantastic team in an expanding international organization? Pharmetheus keeps moving forward and we are now looking for an administrative assistant for a brand new position at Pharmetheus.
About the role
We are a motivated, dedicated, and growing group of 70+ people, currently undergoing exciting developments and we are now looking for an administrative assistant to join our team.
As Administrative assistant and Archivist you will provide administrative support and contribute to the company’s administrative processes to ensure efficient operation of the business. In addition, you will be responsible for managing the client project archive and contributing to the implementation and development of an efficient client project archiving process. You will also collaborate closely with the company’s other Administrative Assistants to support and work with other departments within the company.
Today the administrative team consists of two assistants, and we are now looking to grow the team with two new positions. All Administrative Assistants report to the Chief Financial Officer (CFO).
Main duties & responsibilities
Administrative assistant:
- Support internal teams with assigned tasks
- Support in general office administration
- Make meeting arrangements
- Make travel arrangements
- Reconcile business credit card invoices/receipts
- Write meeting minutes
- Present and communicate administrative information internally
- Support with strategic, operational, or other work related to Pharmetheus’ business when requested
Archivist:
- Ensure efficient and appropriate management of client project archiving processes in compliance with the Quality Management System.
- Manage archiving of client project data with long-term retention periods in cooperation with Project Leaders and Quality Assurance Officer (QAO) and COO.
- Identify rooms for improvement in archiving processes and support the creation and update of applicable QMS documents regarding archiving.
- Perform quality checks of client projects that should be archived.
- Ensure oversight and control over archived documents/folders.
- Train relevant Pharmetheus staff in the archiving procedures and give support.
Qualifications and Experiences:
- Upper secondary education from relevant field
- At least two years’ experience in an administrative role in a GxP regulated environment
- Experience in roles as Administrative Assistant, Archivist or similar
- Experience in interacting and coordinating multiple contacts
- Experience in using MS Office programs and Google Workspace
