ABOUT THE ROLE:
We are now looking for an administrative coordinator to join our global team. As an administrative coordinator you will work with our problem solving academy program broadly, towards all parts of the organization, from HR to, Line Managers and Management Team. You will also take lead in being the main contact and coordinate our problem-solving training between different sites around the globe, where you will have a cross functional function. You will work closely together with two Project Leaders for the problem solving academy, both located in Solna.
With the administrator/coordinator role you will be a key person in the planning of the training sessions for our engineering department (to start with) and then to enroll the problem solving academy training to the larger organization and other departments. You will manage training invitations, invitation conflicts, align agenda availability between trainers and local HR representatives, consolidate project progression and support in Steering Committee material preparations. This position also works closely together with our Engineering department and HR but will have more interactions with every department globally.

JOB DUTIES AND MAJOR RESPONSIBILITIES:
• Plan and manage invitations to all sites for the problem-solving training: Solna, Tallinn, Barneveld, Campinas, Juarez and Novi.
• Manage invitation conflicts: update the list of attendees, follow up on the participation in training sessions and change the dates for the training due to our business need, coordinate for the right individual to attend the right training session
• Align agenda availability between trainers and local HR at different sites
• Consolidate project progression
• Support the steering Committee with material preparation. This will be presented to see the progress of the training.
• Work closely together with Problem Solving Academy Project Leaders and support with various administrative tasks
QUALIFICATIONS:
• Currently a student in university with an ongoing education (you need to have at least 1 year left of your studies)
• Fluent in English (both in writing and speaking) since this is our company language
• Has worked with administrative or coordinating work before
• Has experience inside global organization
• Has experience in Microsoft package (Excel, powerpoint, sharepoint)
Good to have:
• Knows any of following languages: Swedish, Spanish, Estonian, Dutch or Portuguese.

OTHER INFORMATION:
• Start: ASAP, or at latest by the end of December.
• Work extent: part-time, student contract hourly employment. 2-3 days per weel usually due to business need.
