SIS is going through an exciting stage in its history. From August 2023, the School occupies two buildings, at Johannesgatan and at Norra Latin. Together they create an impressive campus in the heart of the dynamic city of Stockholm. Already the leading choice for the region’s globally mobile diplomatic, business, and research community, the addition of the Norra Latin building allows us to expand to meet increasing demand from parents and provide a modern teaching environment in landmark buildings of immense heritage.
Position summary
The Advancement Services Officer employs their expertise in managing, analysing, and leveraging the data needed to inform organisational strategy and conduct the operations that engage and steward the School’s various stakeholder groups.
This is a key role developing the infrastructure to support all aspects of advancement for the School, ensuring that the team optimises data integrity and use of systems and platforms. These include a CRM for community relations and fundraising (Raiser’s Edge), an admissions processing system (OpenApply) and project management platform (monday.com).
The post holder will be expected to already be, or quickly become, a proficient user of the various systems and to be willing and able to share knowledge with and help train colleagues.
Key responsibilities
Reporting
Submit benchmarking data
Produce reports visualising data to facilitate decision-making and forecasting
Produce data reports and lists for SIS Board, leadership and other parts of the organisation
Fundraising metrics and campaign data
Coordinate stewardship information listed in publications and on the website
Data processing
Process gifts/acknowledgements
Automate stewardship plans
Pledge follow-ups
Mailing lists
Record events and activities in Raiser’s Edge
Transcripts (except for college applications), enrolment certificates etc
Data integration and integrity
Implement an annual programme of data migration between the different systems (OpenApply - ManageBac - Raiser’s Edge)
Oversee the SIS CRM system (Raiser’s Edge), liasing with the School’s IT team and external suppliers and developing your own skills to fully understand and utilise the system’s different areas of functionality
Set and implement an annual cycle of community data updates
Upgrade systems as required
Monitor and spread information on new functionality
Conduct regular checks to ensure data integrity and quality
Ensure that systems documentation and instructions are produced and updated
Liaise with relevant teams such as the Technology team and the Finance team to ensure accurate processing of data and gifts
Research/insights
Produce, implement and analyse results of surveys conducted by the advancement team (including the annual parent/guardian survey, entrance and exit surveys)
Review the performance of individual campaigns to identify opportunities for improvement
Monitor external environment for business intelligence
Gather prospect and supporter information and produce reports and profiles
Other
Support the team in optimising the use of current systems and evaluate new potential ones
Keep up to date with professional best practice and promote it throughout the team and the School
In addition to the above areas of responsibility the position may require other reasonable duties relating to the scope of the position and the advancement team. The post holder will at times be required to work outside of normal office hours and/or weekends. Additional duties as well as working outside of office hours should be authorised by the Advancement Director.
Qualifications, attributes and experience:
Exceptional ability to handle confidential and sensitive information with the utmost discretion and maintain strict confidentiality
Proficient in working with data, including data analysis, data entry, data management, and data visualisation
Strong data visualisation skills, capable of creating clear and insightful visual representations of complex data
Good working knowledge in both English and Swedish languages, both written and verbal
Demonstrated patience in dealing with complex tasks, challenging situations, and colleagues or clients
Excellent interpersonal skills, with the ability to effectively communicate and build rapport with individuals from diverse backgrounds
Possess an analytical mindset, capable of dissecting problems, identifying patterns, and developing solutions
Curious and eager to learn, with a natural inclination to explore new concepts, technologies, and industry trends
Familiarity with Customer Relationship Management (CRM) systems and the ability to effectively use them for client or customer interactions and data management
Educated to degree level in a relevant field or demonstrated equivalent experience

Administrative - Permanent full time ( with six months’ probationary period)
