About this opportunity:

SAN Lab Operations invites applications for the role of Assistant. In this role, you will offer critical administrative support and service to our managers and the unit leadership teams. You will actively contribute and coordinate various administrative projects. As our administrative expert, you'll operate key processes and support in navigating Ericsson's internal processes, systems and tools.
Further, contribute to and coordinate activities in different projects in the administrative area, act as expert for the administrative support systems whenever needed and manage e.g., orders and invoices in line with authorization policies and routines. Support and inform about Ericsson internal administrative processes, systems, and tools. The tasks performed are partly structured and recursive in nature and can also be on ad-hoc basis. All above to optimize administrative efficiency, meet business needs and enable the line organization to focus on the core business.

What you will do:

• Plan, organize and coordinate meetings logistics e.g., book room, conference equipment, refreshments, both before and during meeting.
• Plan, organize and coordinate meeting information e.g., agenda, send relevant information to participants.
• Attend meetings to assist with administrative parts e.g., take minutes of meeting, record action plans, follow-up action points progress and deadlines.
• Handle presentations, documents, communications (e.g., meetings material, organizational changes, etc.).
• Compile monthly report and newsletter based on inputs from the units.
• Handle entry and exit administration. Administrate entry for employees and Consultants. Introduction of new employees into the unit. Support the implementation and follow-up of the activities related to the induction/welcome program. Administrate exits for employees and Consultants (e.g., exit check list).
• Support on how to manage travel arrangements ensuring all corporate policies are followed e.g., travel booking, hotel, other transportations, security arrangements.
• Manage and support in information handling. Build structure in document handling systems (e.g., EriDoc, SharePoint, Teams, common drives). Support compliance in documents classifications and access based on info confidentiality, data privacy. Support to ensure branding policy in presentations and documentation. Upload and update documents. Gather already established presentation, information material and distribute accordingly (e.g., newsletters/internal updates, organizational announcements, vacation plan, templates, etc.). Create and distribute contents for information, compliant with Ericsson Brand. Provide knowledge of available sources/tools to find relevant information. Prepare documents and support in case of audits.
• Support with use of administrative tools. Handle, prepare, track, and amend orders, invoices, etc. according to Ericsson policies and local cost directives e.g., Ariba, SAP, My Support, as agreed with manager. Handle and create claims for reimbursements on behalf of manager e.g., Concur as agreed with manager.
• Act as expert for administrative systems and guide in routines, e.g., Ariba, SAP, My Support, ESS, MSS, Employee Central, EriDoc, ITM, Concur, XRM, SuccessFactor. • Administrate assets/distribution lists and access rights in related systems for employees, consultants, and customers (e.g., My Support, Ariba, SAP, Ericsson Remote Access, Concur, Finance Systems, etc.). Support compliance with information security.
• Handle requests/questions in specific Assistant team mailbox.
