We are now looking for You who want to take up the important position as an assistant within the Communications department and support the managers and teams within Event Experience, Sustainability, Public Affairs, and Corporate Communications. An exciting opportunity to be part of the transformation journey within Communications and areas strongly connected to the strategic direction of Scania.
Your role/working area
As an assistant, you will be part of a tight team of three assistants with the joint task of supporting the Communications department and developing an efficient way of working cross-functionally. You will in your role support four managers within the Communications management team and the respective departments’ Event Experience, Sustainability, Public Affairs, and Corporate Communications. You will report to the head of Event Experience and be part of the Event Experience management team. The assignment includes, among others:
• Active role in developing a cross-functional way of working within Communications together with assistants
• Proactive planning based on our common yearly calendar
• Plan, book and coordinate meeting arrangements
• Planning of CE, Event Experince Management, meeting agenda based on yearly plan and take minutes
• Participate in weekly group meetings and take minutes
• Ordering of office supplies, access and equipment
• Handling invoices in invoice system prior to manager approval
• Travel bookings
• Office/workplace management (changes/improvements/maintenance)
• Manage Teams and One-Note structure (file structure)
• Coordinate onboarding of new employees
• Support of managers’ calendars
• Support with the know-how for systems
• Support with KPI follow up
Your profile
The role places high demands on administrative competence and service mindset. You have a proactive approach, are solution-oriented, and are curious about new ways of working. We think you are flexible and have high integrity. This role requires that you are a team player with good social ability and enjoy a large network of contacts. You have at least 5 years of experience from the assistant role and have worked supportively towards management teams. We see the previous experience as an assistant at Scania being important, with thorough know-how of relevant Scania systems and an established network. Furthermore, we want you to have at least post-secondary education within the relevant area. Of course, you master the MS Office package. You also have very good knowledge of Swedish and English, both orally and in writing. Driver license category B is mandatory.
