A prerequisite for Scania to be successful in the transformation is a strong and business driven HR. The newly formed global People & Culture (P&C) function will be an efficient and manager centric organisation signified by great engagement and capability, working in a robust operating model with a value-driven culture.
Intro
Business Administration Service is a new group within People Business Service & Support where we are placing all assistants in People & Culture (P&C) in the same team. Our aim is to create a strong team with a common way of working and where all managers within P&C receive professional assistant support. You will support one (or more) management team(s) and also be part of their daily business. You will also help set standards and efficiency in assistant processes.
We are now looking for a new assistant to join our team!
Your tasks
• Communication of important information
• Order necessary hard- and software, accesses and work material for new employees
• Stay updated about routines, Data accesses (eg new employees)
• Orders of office supply, data equipment, telephones
• Help the managers with invoicing (coding)
• Handle calendar for department managers – bookings
• Fix travel bookings, registration of travel expenses
• Keep the intranet (Reflex) appearance updated
• Professional networking with other assistants within Scania
• Being a point of contact for many different issues, e.g. answer questions, assist in daily work and provide information
• Support with some preparations to meetings and taking notes form management teams meetings
• Business related administrative work such as invoicing to customers and administration around work environment
• Coordinate moves and relocations
• Improve your work tasks
Your profile
• You have broad experience as an assistant or from similiar administrative work
• You have a high school education or similar
• You are service minded with a high level of integrity
• Fluent in Swedish and English language
• Processoriented and comfortable with digitalization
• Experienced user of MS Office and other relevant systems
