Médecins Sans Frontières Sweden (MSF) is looking for a flexible Board and executive support to the Stockholm office for a substitute contract. You will work in a dynamic and fast paced environment where no day is like the other. You will work closely with the MSF Sweden President and Board, supporting them in their strategic work. You will manage a wide variety of tasks and responsibilities, acting as a problem solver, organizer and gatekeeper.
The role
The role entails communicating and collaborating with both Board and Executive of MSF Sweden. You are a key player in making the President’s and Board members’ mandate run smoothly, providing great service with a positive attitude. In addition, you will be working on our international Board Strengthening Project (BSP). In this role, you interact with other boards around the world coordinating training in governance and other specialized trainings for board members.
Position in the organization
The Board and Executive support belong to the Support department with 19 colleagues working in different supporting functions in the office. You will be reporting to the Internal Operations unit manager, but with very close functional working relationships with the President, Board and other internal stakeholders.
Main responsibilities
Board Support/Governance:
- Providing administrative, logistical, and governance support to the President and Board, such as: administration, material and calendar bookings.
- Fiduciary understanding of the strategy and governance of MSF Sweden, and the application thereof in support of the Board.
- Preparing meeting agendas, documenting meeting minutes and managing action items.
- Ensuring compliance with fiscal and legal Board requirements.
- Acting as a liaison between the Board and the Swedish office.
Executive Support
- Providing administrative support to the General Director
- Full responsibility for the Annual Report as well as monthly reports
Board Strengthening Project (BSP) (20%)
- Co-ordinate the delivery of (virtual) governance trainings for new MSF board members and allied support staff.
- Manage a newly developed trainers pool, matching trainers with training needs with regards to governance
- Co-ordinate the delivery of pre-existing specialised trainings and ad hoc trainings for specific boards on request
- Oversee the evaluation and periodic revision of all BSP trainings and products
We are looking for you with:
- A minimum of 1 years’ experience working as Executive/Board support
- Academic degree, preferably in business administration, political science or equivalent
- Fluent in English and good knowledge in Swedish, written and spoken
- Excellence in planning and reporting on a strategical level
- Excellent computer literacy, Microsoft Office 365
- Excellent communication and interpersonal skills and strong commitment to humanitarian principles and values.
To be successful in this role you should be service minded, independent, creative and self-motivated. You have a high level of integrity and a proactive and flexible mindset since you are working with many different people.
It’s valuable if you have:
- A Board certification
- Project management experience
- Experience with annual reports
- NGO experience
Work conditions
- Employment form: A substitute contract of 7 months, until mid-August 2023.
- Work hours: Full time of which 80 % are Board and executive support and 20 % BSP. Full time is 37,5 h/week.
- Salary: 30 500 SEK/month (set salary according to MSFSE salary policy)
- Benefits: Pension, health insurance, life insurance, travel insurance, insurance for work related injuries, wellness contribution (2000 SEK/year) and one wellness hour per week.
- Vacation: 32 days/years (including 5 extra vacation days for goal oriented working time)
- Entry date: January 2023 or as soon as possible
- Full compensation day 1-14 of sick leave
- Position is based in the office in Stockholm
- You are expected to work evenings (6) and weekends (7) per year
- As an employee with MSF Sweden you are bound by the collective bargaining agreement for non-profit organisations between Fremia and Unionen & Akademikerförbundet.
