Let us describe the challenge we offer
We are looking for an outstanding Business Support and Financial Co-ordinator to join the Communications & PR team at Polestar HQ in Gothenburg, Sweden. The Communications & PR team covers PR, internal communications, events and storytelling.
This new role is an important member of the team, supporting the Global Head of Communications & PR day-to-day as well as managing the departmental budget and demonstrating return on investment.
What you’ll do
As mentioned, this is a two-parted role. To give you a better understanding of what this will include, we have listed some examples of tasks and responsibilities below.
Executive Assistant
- Support the Global Head of Communications & PR with administration, planning and coordination.
- Plan, organize and facilitate meetings, team offsites, and other events.
- Maintain agendas for meetings, prepare content and presentation materials and take meeting notes.
- Make all necessary travel arrangements for the Global Head of Communications & PR.
- Undertake specific project work and any other duties as required.
Financial Co-ordinator
- Be the main contact for the Finance Controller and take part in Monthly Forecast meetings.
- Initiate and manage the budget and headcount planning process as well as coordinating with other departments internally.
- Regular meetings with the Communications and PR team to remain up to date on budget allocation as well as new and existing resource needs.
- Work closely with Procurement to secure supplier agreements and handle consultant and agency contracts.
- Raise and keep track of all purchase orders within Communications and PR, accruals and budget allocations.

We are looking for an organised self-starter, a service star with a humble yet decisive approach. To thrive in this role, we believe you enjoy mixing administrative work with hands-on tasks - for you it’s easy to handle multiple projects simultaneously.
We believe the great match for this position have:
- Probably over two years of experience of a similar role. Preferably in a creative, dynamic and international environment.
- Outstanding financial and analytical skills, you are good with numbers and understand the importance of being detail oriented.
- Proficient with MS Office, especially Excel and PowerPoint.
