The scope
We are now recruiting for the job as CEO Assistant & Communicator. The position reports to the CEO and is based at Vitrolife’s headquarter in Gothenburg. By planning, coordination and support for various tasks and projects, this position plays an important role for the effectiveness of the CEO and the Executive Management Team.
Focused on organisation, execution and follow up, the position has two main components. It oversees the prevalent CEO office affairs and it manages the internal communications agenda for the company globally.
The position
Manage the overall corporate calendar for the CEO and Executive Management team, enabling efficient meetings by ensuring planning, agendas, documentation and follow up of management team meetings and production of monthly reports
Project lead preparations for Board meetings, management meetings and global staff meetings including coordinating annual meeting cycles and reporting schedules, preparing presentations and documentation
Manage the regular internal communications agenda by planning and executing the activities to inform, engage and listen to employees including responsibility for the intranet, corporate presentations, Global Staff meetings etc. Ensure alignment with integrated communication plans (external, change and marketing communications)
Assist the CFO in connection to investor relations and the capital market such as production of Annual Report, other reports, administration and related events
Collaborate in ad-hoc projects such as launch events, workshops, off-sites, celebrations e.g. preparing practicalities, communication content and presentations for meetings and events
Periodically support members of the management team and members of the Board in practical and organisational arrangements, incl. various administration
The profile
As the CEO Assistant & Communicator you are a service minded team-player, who proactively takes own initiatives with high integrity. You are a structured person who enjoy challenges, take responsibility and follow through.
You are a strong communicator and you enjoy driving results through collaboration, adjusting to context and connecting with different people in different functions in a fast-paced global organisation. You seek out different perspectives, ideas and opinions and you share information balancing curiosity and morality. Besides having a relevant academic background, you have an excellent command of verbal and written communication in Swedish and English. An eye for visual communication and content creation is an asset. You have a keen interest to learn and apply new digital tools for communication and collaboration to advance the intranet, Microsoft 365 incl dialogue applications, content management systems, e-mail, video, social media, print, workshops and events, and line manager communications.
This is a full-time position with start date during the spring 2021. Occasional travelling may be required.
