About The Role
As Commercial Operations Specialist you will be part of the Nordic Commercial Operations Team and support BD to simplify and improve administrative processes. This is an administrative role working in close partnership with finance and HR departments. You will be an internal advisor both for local Nordic colleagues as well as colleagues in Shared Service Center located in Poland. The goal is to ensure that all requests are dealt on a timely manner and to work as a change agent to strengthen, simplify and implement processes by being a strong link between the Nordic operations and the Shared Service Center.
Main Responsibilities Will Include
Fleet management: Maintain leasing contracts and be contact person to leasing partner ALD, handle offers, update car list, reporting to payroll, help with employee queries, follow up parking contracts in conjunction with employee onboarding and offboarding.
Financial follow up: Ensure and follow up vendor invoice payments (issue management), maintain SOP, help with PO resolution.
Company credit card administration: Contact person to Citibank
Billhop implementation and management: Citibank P/M card administration
Local contact person for Concur: Assist employees with T&E related queries
Handling of incoming finance post
Administration of shared inbox
Benefit administration: Collect and archive benefit receipts
Participate in process improvement projects
About You
You are a driven person who is passionate about administration and processes. You are organized and well-structured, can set priorities and are able to work with large amount of information. You are an excellent communicator and can influence others. You cherish teamwork and can establish relationships across business areas. You can work with all members of the team to put into practice values and behaviors that contribute to group effectiveness and performance. Growth mindset is part of your nature, you see possibilities where others see problems.
Fluent Swedish and English required, Finnish would be an asset.
Ideally you have a background in administration and a degree level education, or you have built your competence through relevant working experience. You have some financial understanding, and you have experience working in a matrix organization and you are familiar with Shared Service Center functions. Experience working with fleet management, SAP, Concur and Excel are considered as a plus.
