Job Summary
The project coordinator is in charge of preparing, managing and administering Erasmus+ vocational training projects. This role involves working closely with the project/office manager and under her direct supervision administer all types of internship projects for students from different EU countries, such as Poland, Croatia, Cyprus, Slovakia, Slovenia, Austria, Germany etc., as well as carry out project plans and project documentation. This role is a full-time position and involves reporting to the project/office manager. The project coordinator implements project activities, administers resources, equipment, and information as well as performs various administrative tasks to help projects stay on schedule and within budget, and safe resources.
Job responsibilities
- Coordinate project activities, and information by breaking projects into doable actions and setting timeframes
- Initiate contact and build relationship with the coordinators and accompanying teachers from stakeholder schools
- Find local companies for Erasmus+ vocational trainings and internships for the students from Poland, Croatia, Cyprus, Slovakia, Slovenia, Austria, Germany etc.
- Prepare job-placement plan in cooperation with the school coordinators considering the students’ preferences, as well as in cooperation with the local companies discussing internship schedules and terms
- Communicate the job-placement plan and the emergency situations, safety and work- related rules to the groups, including all required competence and equipment needs in advance
- Provide welcome meeting and presentation of the rules to the groups of students, provide signature of a document certifying that the students have been familiarized with the rules
- Provide transportation tickets to the groups
- Plan and conduct introduction meetings to the workplace with the students in cooperation with the available human resources
- Provide coaching for the students during the whole internship period in close collaboration with the accompanying teachers
- Monitor students’ working hours and organize group and individual assessment meetings to identify problems and address them one week after the job-placement
- Organize visits to the local companies to build partnerships for the upcoming projects in close collaboration with the Coordinator of Erasmus+ Teachers’ projects
- Provide photos from job places during the projects, including group photos with EU Mobility flags.
Reporting and administrative tasks
- Communicate with everyone on board about any changes, as well as unplanned expenditures in case of contingencies to the project manager
- Report, plan meetings, and provide updates to the project manager on regular basis
- Handle any issues that arise during the project in close collaboration with the project manager
- Act as point of contact for all parties involved
- Provide project documentation along with administrative duties such as contracts, agreements, certificates, and such
- Communicate project status during weekly team meetings
- Provide other tasks assigned by the CEO and project/office manager.
Other tasks
- Check the accommodation and catering provided to the groups on a regular basis.
Requirements
- Excellent time management and communication skills
- Risk management and problem solving
- Ability to work under pressure without sacrificing quality
- Flexibility in working hours and availability on the phone for the emergencies outside working hours
- Excellent team player, dependable with sense of shared responsibility and team-mindedness
- Excellent knowledge of English and Swedish
- Strong command of Microsoft tools and presentation skills
- Preferably trained in project management and experienced in international work environments.
