Corporate Services Assistant (SWE21.015)

The British Embassy in Sweden is part of a worldwide network, representing British political, economic and consular interests overseas. We are now looking for a Corporate Services Assistant. To provide a high standard of administration and logistics support to the Embassy. Core duties include administrative assistance for the Corporate Services Team and driving.
Main Duties and Responsibilities
Administrative duties
. Finance Admin: routine scanning and uploading invoices to Sharepoint, providing effective support for invoice processing.
. Procurement Admin: monitoring incoming requests and taking necessary action to create requisitions as part of the purchase-to-pay process.
. Participate in logistical preparations of high-level visits, including driving schedules etc.
. Budget monitoring of IT & Security spend.
. Input data to Facilities Management Database and track IT, Fire, Security work requests.
. Undertake any ad-hoc duties to help meet the Embassy objectives.
Logistics Support
. Assist the IT Support Officer.
. Monitor minor office machinery, testing and service support.
. Official mail: collection/delivery.
. Support on-boarding and exit procedures for staff; IT, Email, Access.
. Maintain official bicycle fleet.
. DSE Assessments
General driving duties
. Undertake driving responsibilities issued by relevant Embassy staff, including delivery and collection of passengers, any ad-hoc driving requirements.
. Contribute to a cooperative work place by assisting colleagues including other teams when needed and within competencies and capacities.
. Care of assigned vehicle.
Essential Skills
. Fluent English (C1/C2 Level) and Basic/Intermediate Swedish (B1/B2 Level)
. Valid driver's licence.
. Good communication skills.
. Ability to work under pressure.
. Excellent time management skills.
. Pass a competency based driving test set by the Embassy.
. A polite, friendly and tactful manner when handling complaints, enquiries or solving problems.
. Good IT skill set, proficient user of Microsoft Office.
Desirable qualifications, skills and experience
. Previous experience working in an international organisation.
. Broader knowledge of travel routes, road conditions throughout Stockholm.
. Minimum 2 years driving experience.

This is a Full-time (40 working hours per week), permanent position (40 working hours per week)
