We are now looking for a true star to join our Digital Office. Are you service-minded, structured yet creative and enjoy a high pace? And do you want to play an important role supporting our digitalization journey at Scania? Then this position might be perfect for you, as we are looking for someone to support us hands-on with administrative activities while at the same time plan and run smaller projects around events, communication or team building.
This is an exciting role where you have a lot of opportunities to develop yourself as well as our team. You will report to the Chief Digital Officer for Scania, with the main task to support the overall team of Digital Office. We are an ambitious and fast moving team, so get ready for many things happening at once! Together we are aiming for an engaging and efficient working environment, where you will have responsibilities such as:
• Welcoming, engaging and enabling new employees together with the recruiting manager
• Be our team focal point and rock, providing administrative services such as:
• Support team colleagues in their administrative tasks and information needs
• Handle purchase orders and invoices for indirect materials and services
• Administer and structure our digital tools e.g. Teams, employee experience measurements, SharePoint
• Support with HR compliance; safety rounds, annual assessments, keeping track of mandatory trainings and surveys
• Ensuring and ordering the right equipment, supplies and access to facilities and systems needed
• Handle meeting coordination, traveling arrangements, expense and travel bills for CDO
• Taking an active part in building a strong team spirit, great well-being and support managers in group development, securing that people in our organization thrive
• Arranging efficient meetings and energizing social events
• Be an integral part of our management and team by planning, organizing and sometimes leading recurring meetings. Ensuring follow up on objectives, key results, actions and decisions taken, and then evaluate and develop our way-of-working
• Running smaller internal projects
• Supporting with communication activities
• Challenging us and ensuring that we keep a continuous improvement mindset
Your profile
We believe that you have a high integrity, are dependable and organized as a person, and bring great energy to any environment. You might enjoy improving existing (or non-existing) structures, proactively organizing and creating efficiency wherever needed. Being self-motivated and having a positive mindset, you balance the mix of managing sometimes complex, sometimes routine administrative tasks with more creative assignments and engaging with the team members. As Microsoft Office applications and other internal and external systems will be part of your daily business, your good computer skills are vital. And as you will work in an international environment, you are of course also able to express yourself in speech and writing in both Swedish and English.
You might have experience from similar roles, or smaller project management, and if you have experience in handling multiple administrative systems for managing personnel, cost, purchases, invoices, etc, that is a plus.
