Site Management & Monitoring (SMM) Nordic is part of the Development Operations in the Research & Development (R&D) function. SMM conducts and delivers Clinical studies, and our Nordics department contributes to a substantial part of the SMM Nordic delivery. Clinical studies are delivered in close collaboration with partners in health care and academic medical institutions.
We are looking for a Department Administrator to join our Site Management & Monitoring Nordic team. You will have your base at our new Solna Marketing Company site in Stockholm.
What you will do
As the Department Administrator, you will be an important part of SMM Nordic. You would be responsible for the administration surrounding the clinical trials, as well as supporting the Leadership Team to fulfil their accountabilities, through coordinating activities that ensure quality and consistency.
You will create and track purchase order (PO) numbers for vendors, review invoices, and support with financial control. You will also be the point of contact for the SMM Nordic team, local office facilities team, security, HR and IT.
We will rely on you to manage and contribute to information sharing, coordination and tracking of materials and equipment, as well as coordinate tasks within SMM Nordic.
Typical Accountabilities:

PO creation and invoice review
*
Maintain and manage local Sharepoint portal, create and organize MSTeams
*
Set-up, populate and accurately maintain information in AstraZeneca tracking and communication tools and support others in the usage of these systems, including requesting system accesses
*
Onboard new starters (order equipment, entry cards, add to email lists etc.) and off boarding
*
Lead the practical arrangements and contribute to the preparation of internal and external meetings. Liaise with internal and external participants and vendors
*
Contribute to and distribute presentation material for meetings, newsletters and web-sites
Essential for the role
In this role it is essential to have good communication skills, be flexible, collaborative and have the ability to prioritize. Good organizational, data management and documentation skills are required, and you should be able to manage multiple deliverables in parallel.
Additional requirements:

Financial background with skills in SAP, Coupa and Accord
*
Basic understanding of the drug development process
*
Fluent in written and spoken English
*
Proven organizational and administrative skills
