About the position
Perido is now looking for an administrative assistant to our client, an independent and important agency of the European Union. The position is placed at their office which is nicely located just outside of Stockholm city. After an introduction at the agency’s premises the work can proceed mainly from home due to the ongoing Covid-19 pandemic. A step-by-step return to work in October can be expected.
Your daily tasks
In this position you will support the Director’s office, and within the Team for European and International Cooperation. During your workdays you can expect the following tasks:
Provide daily administrative management of the project – including drafting notes, minutes, correspondence, and necessary follow-ups.
Develop and maintain project related databases and reports.
Design and support project coordination meetings, events and prepare presentations in support of project needs.
Communicate, cooperate, and liaise with a range of internal and external stakeholders.
Assist in following up on budget implementation.
Provide administrative support tasks in the area of procurement and contract management.
Provide support on workflows and procedures in compliance with the agency’s procedures.
Carry out a range of administrative tasks – including filing, archiving, document registration, maintaining databases, etc.
Any other tasks related to the area of work as requested.

In order to be successful in this role you need to have a high level of responsibility and an ability to work independently. We believe that quality defines your work. You are solution driven, with an attention for details, and an ability to prioritize tasks and handle many issues at once. Furthermore, we want you to be excellent in teamwork and we see that you have strong personal skills with the ability to communicate with people at all levels within the organization, as well as with external partners. Lastly, you always make sure to offer a high level of service and you are well aware of how to handle confidential information with discretion.

Requirements
Education at university level or relevant post-secondary education
Proven professional experience as an administrative assistant/secretary, preferably in a multicultural working environment
Experience in working with support tasks in the areas of project management, procurement, contract management, budgets and/or statistics
Excellent command of Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience in maintaining databases
Excellent level of English, both written and spoken
Contract type and hours
Full time assignment. Starts as soon as possible, until the end of the year 2021 (with possible extension).
