Become part of our Global Marketing team

You will be part of our marketing team which handles the strategic planning and creative work for all our markets in Europe, APAC, USA and Australasia. We have high ambitions for our communications and place great emphasis on design aspects. The position is based at our head office in Stockholm and is a full-time position.

The event team is involved in the yearly production of about 60 clinical conferences, other marketing events and webinars. As our event marketing coordinator you will have a central position in ensuring the right presence and communication for these events, from onsite to hybrid or virtual.

Your position

You will work with a wide variety of tasks participating in all steps of the events from idea and planning to follow up. You will work closely with both the marketing team, technical event agency and our local sales teams in all markets, ensuring planning and execution of the marketing events and congresses. Some of the large corporate events with a global audience require you to handle detailed project management as well as being present onsite during the conferences and events. You need to be able to travel 2-4 times per year as minimum.

All activities will be performed in close collaboration with the marketing manager and the event marketing coordinator team lead, internal stakeholders and local sales teams.

In this position you will be involved in all steps from planning to follow up of both our larger corporate global congresses and events approx 5 per year and our smaller regional congresses and events. You will be required to keep track of, negotiate with vendors and responsible of the budget decided for each conference, event, or subsidiaries, including follow up of results.

One of your other key responsibilities will be to ensure efficient support regarding the event logistics for all marketing events. In this job you will collaborate with various internal staff, the event agency and other 3d parties in the planning and the execution of our marketing events.

You will primarily work with:

• Budget planning and follow up.
• All related planning, logistics and execution of the international corporate congresses and events. Onsite, hybrid or virtual.
• Invitations and registrations, trade show administrations and the communication of each of event in our defined channels.
• Webinar planning and execution based of the yearly plan.
• Support and lead the local trade shows executed by our subsidiaries, where you will have a larger responsibility regarding:

- Project coordination of content of smaller custom-built booths together with local sales teams and the event agency.

- Idea and conceptual development of smaller local booths.

- Evaluation and follow of subsidiaries events.

Your profile

As you will be involved in managing marketing event projects you need to be a self-starter with excellent organizational skills and the ability to pay attention to details. You also need to have strong time management skills with the ability to stay on schedule. You should have communication and/or branding experience from earlier employment within marketing events.

You need to have adequate administration data program skills and appreciate administration as you’ll manage budget planning and reporting, including finance accounting planning, success metrics, event communication and marketing software data tools.

Working with event agency you should have the ability to collaborate, communicate and negotiate with ease, as you are required to establish and maintain effective working relationships with staff and event agencies etc. to keep to budgets. You need to be a hands-on doer, able to effectively manage multiple priorities and solve problems while keeping calm under pressure.

Experience & skills:

• BS in Event Management, Hospitality Management or equivalent (you may also substitute additional relevant experience for the required education).
• Marketing and event experience from an international company.
• 5+ years of relevant experience, preferably in a variety of event and congress management areas and other related work where you have managed multiple projects independently.
• Good experience from collaborating and with third parties.
• Hands on experience working with international technical conventions and trade shows.
• The ability of a creative mindset to secure right branding and communication of our event elements.
