We are looking for an Executive Administrator & Customer Meeting Coordinator within the Downstream Hardware business unit. You will report directly into the General Manager. The organization spans across lab size equipment through equipment in manufacturing scale and has teams across Uppsala, Umeå, Shanghai, China and the Boston area in the US.


What You’ll Do


In your role as the Executive Administrator and Customer Meeting Coordinator you will:
Provide administrative support to the Downstream Hardware General Manager
Calendar and e-mail management: Proactively and with the GM’s priorities in mind, manage the GMs calendar by scheduling meetings and other appointments. Scan incoming e-mails and take action as needed.
Travel management: make flight, hotel and ground transportation reservations, organizing travel documents such as travel visas, itineraries and receipts, managing travel claims in a timely manner.
Conference and meeting management: manage meetings and conferences both internally in Uppsala and externally in Sweden and abroad: make reservations, compile and distribute the agenda, be the main contact for meeting participants and venue as to ensure logistics and smooth running of the meeting, take and compile meeting notes, distribute post meeting and follow-up actions with designated action owners. Note, it is expected that the DSHW assistant participate in meetings and conferences for which the GM is responsible for, is required to travel within Sweden (~4 times per year) and abroad (~1-2 times per year). Overnight stay (~1-2 nights) is required in Sweden.
Document management:
Manage documentation in “box-structures”, keep box up to date with respect to owner / editors.
Prepare and distribute announcements and newsletters from the GM.
Keep organizational charts up-to-date.
Social media management: In collaboration with the communications department, on behalf of the GM make posts, provide links and comments on social media platforms.
Other projects as needed.
Support the CBS (Customized Bioprocess Solution) organization
CBS support: Support the CBS project associate with task e.g. financial forecasting and follow up, time reporting process and management of tool, collect and present KPI for the CBS business
FAT arrangements: In collaboration with the CBS project managers ensure a smooth process around customer factory acceptance testing face to face or digital visits.
Coordinate the Downstream Hardware franchise operating mechanism
Keep the annual plan up-to-date as quarterly franchise meetings and other meetings relevant for the franchise are scheduled.
Review and update franchise meeting agendas (e.g. quarterly franchise reviews, monthly touch points, extended meetings etc.).
Manage the Downstream Hardware franchise box.
Upload executive pitches into the box and keep the “pitch” log up-to-date.
Provide support at large customer events in Uppsala
In collaboration with a larger event team, provide input and execute tasks in preparation, during and after large customer events in Uppsala (e.g. capability days, strategic customer visits etc.).
Support management of digital events e.g support management of digital events e.g. administrative support during remote/digital product demonstrations



Who You Are
You have a High School Diploma or local equivalent, a University Degree is a merit
Minimum two years of secretarial / administrative experience
Good knowledge of general office management and current computer / office communications technologies (e.g. MS Word, MS Excel, MS Power Point, MS Outlook)
Excellent verbal and written communication skills in Swedish and English
