Indigenous peoples and local communities live in more than half of the world´s land area yet they legally own less than 10% of their territories. Securing their land and forest rights enables them to have the cultural and economic independence to thrive and continue to protect systems vital to our global climate, fresh water, and food security. The International Land and Forest Tenure Facility (Tenure Facility) offers grants and technical expertise at the speed and scale required to secure tenure and sustainably manage millions of hectares at risk today. The Tenure Facility works directly with the Indigenous Peoples and local communities and their allies’ ensuring laws on community rights are translated into rights recognition on the ground. It supports them to achieve formal legal recognition of their land and forest rights on maps, in laws, and in the plans and operations of governments and private investors. It works strategically with local, national, and international stakeholders to foster community-level partnership and joint action with governments and the private sector.
The Tenure Facility is an international organization based in Stockholm, Sweden.
The Tenure Facility has a secured multi-year funding and the Secretariat, with at the moment 20 staff-members, is therefore looking forward to adding an Executive Assistant mainly supporting the Executive Director (ED).
Overview of the position
The Executive Assistant reports to the Chief Operating Officer and forms part of the Operations Team. She/he shall support the ED with tasks such as scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings, including all Board and Board committee meetings, and any other administrative tasks that help the ED perform her job. Tasks within the Operation team are expected to be parts of the work.
Overarching responsibilities
• Contribute to establishing the Tenure Facility as a highly credible and respected organization among international development institutions and donors
• Generate mutual trust and respect of Indigenous Peoples and local communities, their culture, with full awareness of the intricacies of relationships among them and their allies and supporters
• Contribute to a collaborative and resilient internal working culture for implementation and sustained progress on the Tenure Facility’s strategic goals and objectives

Specific Responsibilities
The main responsibilities include:
Draft, review and send communications on behalf of ED, when needed
Assist in managing, prioritizing, and scheduling ED’s calendar and commitments
Organize and prepare for meetings, presentations, including gathering documents, providing background material/access or reference TF’s and partners reports, preparing power points
Attending to tasks, notetaking, follow up and maintaining of records and Board/Board Committee/Donor meetings
Answer and respond to, prepare information to the ED including answering for calls; and when requested, communicate key messages and information in social media
Prioritize emails and respond when necessary
Coordinate travel arrangements and logistics of ED
Maintain various records and documents for ED
Undertaking special projects as assigned by COO and ED.



Qualifications
Bachelor’s degree either in communications, journalism, management, preferably with master’s degree or direct experience in work related to human rights, policy change and environment, and systems dynamics themes. Some key skills could be an advantage:
A detail oriented self-starter, with good organization and time management skills
Ability to multitask, prioritize, make decisions, and exhibit sound judgement
Excellent writing, editing, proofreading skills including verbal communications
Comfortable interacting with high level executives
A team player, energetic, humble, capable of cultivating productive working relationships with colleagues across the organization
Resourceful, can-do attitude
Thrives in a fast-paced environment
Working knowledge among others, in human rights, IPLC, forestry and nature conservation, ecosystem resilience and systems thinking
Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
At least 2-3 years prior or comparable experience in supporting a senior executive
