Mission:
As an Executive Assistant you will work closely with the Senior Vice President Communications, with the responsibility to provide high qualitative support in a proactive manner. In this role you will also be responsible to drive the Management Coordination in the team. You will work independently and drive projects and initiatives in close cooperation with the team and others. You will be part of the GTP Management Coordinators Network. In both roles you will have the opportunity of working in a global environment with substantial international and local contacts.

50% Support for GTP Communications SVP
50% Management Coordination in GTP Communications team


Location: Gothenburg, Sweden


Main responsibilities:
Executive Assistant
Manage SVP’s calendar, secure all travel arrangements & expense reports
Administration of orders, invoices and expenses as well as monthly budget and OPEX
Member of the GTP Executive Assistants network where you will drive, contribute and be able to influence others to make things happen
Responsible for administrating on Functional e-mail accounts & PPDLs
Support the members of the GTP Communication team, with selected activities when required
Support to publish/update information on Violin including handling all appointments
You need to be a “IT guru” to secure efficiency and professionalism



Management Coordinator
Plan and coordinate and drive meetings, seminars, conferences and events for Communication team and GTP Executive Management Team
Bring the ideas of technical solutions to support for the virtual events, meetings, conferences for GTP EMT
Organize workspaces and SharePoint sites/Teams groups for efficient ways of working
Responsible for the GTP Communications team meeting governance
To be a spokesperson between GTP and other TD/BAs in the different communication networks
Create the presentation material
Responsible for the internal image bank to be used for the presentations including support with photography and movie recording



Who you are:
The successful candidate has a positive, communicative & can-do mindset. You are able to demonstrate extensive international and multi-cultural business experience. You have a documented experience in Executive Management but most of all a positive ambition and a continuous improvement mindset.


This position requires:
Experienced Executive Assistant with excellent communication skills in both written and spoken English
Broad experience from administrative and supportive roles
Proficient in IT tools (Microsoft office, SharePoint online, PowerPoint, Photoshop, Camtasia)
Expert in efficiently handling agendas, minutes, material storage and invoicing system
Proactive, structured and well-organized, able to prioritize in an efficient way
Ability to work independently as well as in team-based environment and rapidly changing circumstances
Developing and maintaining relationships that inspire trust, respect and professionalism
Copes with working on a number of different tasks- with constant conflicting deadlines
Service-minded, ability to manage international contacts and a proactive approach
Accurate and an eye for details
Work in accordance with the Volvo Group processes, the Code of Conduct and the Volvo Group Values
