The Role
This Stockholm-based role reports directly to the Head of Support. As part of an international support team spread across multiple offices, you will play a crucial role in managing the day-to-day administrative needs of two senior partners. The position involves complex calendar management, coordination of meetings, and extensive travel arrangements, with occasional business travel and a need for flexibility around working hours.
Your ability to build strong relationships, both internally and externally, will be key to your success. The role requires excellent communication skills and the capacity to work seamlessly with other assistants and external stakeholders.
Key Responsibilities
Coordinate travel logistics, including flights, trains, and rental cars
Arrange accommodations, dining, and other travel-related needs
Schedule meetings and proactively manage calendars
Handle travel expenses and report preparation
Assist in planning meetings, events, and conferences
Take detailed notes during meetings and manage follow-up actions
Support wider team events and conferences
Perform ad hoc administrative tasks as required
Who We Are Looking For
The ideal candidate thrives in a fast-paced environment, excels under pressure, and possesses strong organizational skills. You should be dependable, efficient in managing multiple tasks, and proactive in anticipating future needs. Adaptability and a positive, can-do attitude are essential.
Given our international presence, fluency in English is required. Proficiency in digital tools and MS Office, especially Outlook, it’s a must. Experience in a similar EA/PA role or from the travel or event industry is preferred, but we welcome candidates with varied backgrounds. Personal suitability and flexibility will be key selection criteria.
