Pharmetheus keeps moving forward and we are now looking for an administrative assistant for a brand new position at Pharmetheus. As administrative assistant you will work closely with Pharmetheus’ COO and contribute to Pharmetheus' growth.
We are a motivated, dedicated and growing group of 60+ people, currently undergoing exciting developments and we are now looking for an administrative assistant to join our team.
The Administrative assistant is responsible for assigned tasks and contributes to the administrative processes of the company. In this role you will provide administrative support to ensure efficient operation of the business. The administrative team today includes the CFO and two other administrative assistants.
As Administrative assistant you will report to the CFO, and the person we are now looking for will specifically support the COO and the Client Operations organization. In this role you will be the link between client operations and the administrative team and contribute to implementing efficient administrative routines and processes. When requested, you will also be responsible for other work related to Pharmetheus’ business.
Main duties & responsibilities:
Assistant to the COO:
- ensure general admin support directly or indirectly by acting as the link between the COO and the admin group
- managing the COOs calendar and inbox
- prioritizing meetings and emails
- planning the COOs workweek
- handling ad hoc issues
General office administration including:
- office telephone, administer the switchboard
- managing of the employees’ mobile phone subscriptions
- order office supplies, research new deals and suppliers
- arrange office furniture and ensuring Pharmetheus offices are representative
- check the mailbox, sort and distribute mail
Booking arrangements including e.g. meeting, travel and conference arrangements
- take minutes of meetings when applicable
- convenor or member of the party committee/social club
- reconcile business credit card invoices/receipts, expense reports and daily allowances
- present and communicate administrative information internally
Qualifications and Experiences
- Higher education diploma in a relevant field
- Experience from roles as executive assistant or similar
- Experience within business administration
- Experience interacting and coordinating multiple contacts
- Experience from advanced use of Office program
