By being a central point of contact for the senior leaders and their team, the position incumbent will have a chance to be very close to the business and it challenges. Role offers a variety of tasks and gives opportunity to interact with employees in various levels and locations. The incumbent will work very closely with other PA to the senior sector management.

Key Operational Responsibilities:

• Communication and cooperation hub for the finance and HR teams
• Acting as a glue for both teams
• Coordinate external and internal contacts on an international level
• Manage all telephone enquiries as well as internal and external correspondence efficiently and appropriately • Manage appointments and calendars HR leadership team
• Coordinate meetings, conference bookings, follow up and catering arrangements
• Coordinate travel plans, itineraries and all related bookings
• Manage travel expense reporting
• Ensure visitors and guests are properly greeted
• Manage routine administration (record keeping, invoices, holiday paperwork etc).
• Projects tracking
• Budget follow up
• Holiday tracking
• Ad hoc support



Responsibility/Tasks; Executive Assistant to CFO & SVP HR EMA, EMEA;
• Responsibility for handling the calendars of both managers; appointments, bookings, coordination and logistics regarding meetings
• Responsibility for all travel bookings/arrangements for both managers
• Handle both manager’s expense reports
• Prepare and administer meetings, workshops, video conferences etc
• Assist the two management teams practically (Finance team – 11 persons, HR 10 persons); some travel arrangements, meeting scheduling, practical work place assistance
• Take Minutes of Meeting and Action Points – follow up on Action points
• Handling visa issues for both EMEA communities
• Responsible for intranet information; make sure it is correct and up to date
• Responsible for larger events; conferences and bigger meetings
• Introduce new hires; both practical preparations and responsible for setting up their introduction schedule
• Being the key contact person for both communities regarding planning and practicalities
• Receiving the Senior Executive’s telephone calls and correspondence (including emails) and responding, directing, or flagging them as appropriate (the Executive Assistant responds to routine questions and requests and refers higher level managerial requests as appropriate)
• Identifying the need for and assisting in the preparation of agenda materials for meetings which the Senior Executive attends
• Creating and modifying documents and presentations for internal and external use by the Senior Executive
• Creating and maintaining files and records for historical and informational reference
• Drafting letters in response to routine enquiries concerning Senior Executive participation in external events, and other letters as appropriate
• Liaison with the offices of Key Customers’, using tact and diplomacy, to organise meetings, ensuring that the appropriate people are involved, the internal pre-briefings organised, briefing notes prepared, etc.
• Act as stand-in for other EAs as required
