Role and Responsibilities
We are looking for a self-motivated Executive Assistant to support Nasdaq's President of Nasdaq Clearing & Strategy. This role requires attention to detail, proven organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests. The Executive Assistant will act as a flawless extension of the director and will work closely with other Executive Assistants throughout the organization. A high level of integrity and discretion in handling confidential information is important, as well as professionalism in dealing with senior executives inside and outside of the company. The successful candidate will possess the ability to complete complex tasks quickly, autonomously, react with appropriate vitality to situations that require a quick turnaround, and take effective decisions. You can work optimally in a team environment and build effective working relationships inside and outside the group.
Conserves executive's time by reading, researching, and routing correspondence; drafting letters and emails and documents; collecting and analyzing information; initiating telecommunications; or preparing speaking notes, communications, and presentations.
Maintains executive's appointment schedule by planning and scheduling meetings, agendas, conferences, teleconferences, and travel.
Event planning for key meetings, events, and off-sites including coordinating conference/meeting room set-up, ordering catering, and making logistical arrangements
Provide high-level support for the executive team to ensure they can efficiently accomplish key tasks and company initiatives in time.
Contribute across the business and provide structure and organization wherever possible.
Act as the point of contact and maintain executive, customer, and employee confidence and protects operations by keeping information confidential.
Being responsible for the Supplier Database and working directly with vendors and customers on behalf of the executive when needed.
Provides historical reference and relevant data by developing and utilizing filing and retrieval systems; records meeting discussions, presentations, speaking engagements, and communications.
What We Expect
A bachelor’s degree is preferred, or relevant work experience required
Experience in a similar role for at least 3-5 years
Proficiency in both English and Swedish
Efficient in business software and business systems processes and approvals
Interpret internal and external business challenges and recommend standard methodologies to improve products, processes, or services
Work across the organization with different collaborators
Demonstrating excellent interpersonal skills
Validated experience working with critical information
Structured and detailed oriented
