The British International School of Stockholm is seeking to employ an Executive Assistant to the Principal and School Leadership Team. This is to join an established administration team in our growing international school.
The successful candidate will support the Principal and School Leadership Team in their daily work and in managing projects, diaries, drafting minutes, reports and other documentation as required. They will provide general administration support, cooperating with other staff as required. The post holder is required to work with minimal supervision and with a high level of administrative competence.

Main Responsibilities
● Manage the Principal and Leadership team diaries effectively by planning ahead and anticipating needs, scheduling and managing appointments as required.
● Take responsibility for all secretarial and administrative tasks for the Principal and Leadership Team, liaising closely with the other administrative staff, including planning agendas and travel, drafting minutes, preparing reports and analysing data as directed.
● Support all general administrative tasks for the Principal and Leadership Team, liaising with other departments as required.
● Prepare and organise meeting venues.
● Develop and use reports in the school Management Information System.
● Undertake communication, via phone and in writing, with parents, suppliers and third parties on School-related matters.
● Distribute information and communications to parents and colleagues.
● Any other duties within the capacity of the post holder as may be reasonably requested by the Principal from time to time
Essential requirements for the position include:
● Previous administrative experience, preferably gained within a school / professional services environment
● A warm, welcoming and helpful nature
● Excellent understanding of providing outstanding customer service
● Strong organisational skills
● Accurate keyboard and administrative skills
● Excellent timekeeping
● Fluent spoken and written English
● General IT competency
● Eligibility to work in Sweden
Desirable requirements for the position include:
● Good spoken Swedish
● Familiarity with Google Workspace (although training is provided for the successful candidate)
● Previous experience in Executive Assistant or Personal Assistant roles
