As the Executive Partner you will support the Board of Director, CEO and Management team with tasks that help us build an even better company.
Responsibility
Meeting Documentation and Follow-up: Support in the preparation of agendas, summarize discussions in a clear way, ensure correct handling and follow-up on action items. This extends to both Management Team and Board of Directors' meetings. - 20%
Board Material and Portal Administration: Coordinate with the CEO and Board Chair to prepare board materials. Administrate the board portal, ensuring all relevant information is accessible and up-to-date. - 15%
Annual Cadence Management: Assist Board, Committees and Management in adhering to the annual schedule of meetings, deadlines, and events. - 15%
Project and Task Management: Assist in the coordination and tracking of key projects and initiatives, including high-priority corporate projects, prioritized customer events, shareholder events. Helping to ensure timelines, deliverables, and objectives are met. Follow up on Board Action Points to monitor progress and send reminders to responsible individuals as necessary. - 15%
Executive Scheduling and Coordination: Manage some executives’ calendars including scheduling appointments, meetings, and events. - 15%
Communication and Reporting: Prepare material for quarterly and annual reports as well as for external communication. Ensure accuracy, completeness of information, and adherence to company's branding guidelines. Responsible for CSR reporting. - 10%
Travel and Event Coordination: Arrange travel and events for the CEO, Board of Directors, and Management Team - 5%
Administrative Duties:General administrative duties such as record keeping and expense reporting, and ensure smooth daily operations - 5%
Good to know:
Mentimeter is a digital native company that has matured many processes, systems and integrations, unlike many traditional companies we have a history of eliminating “special tasks” when possible.
Mentimeter does not use email as a main internal means of communication but Slack which creates a unique workflow, experience related to this is a bonus.
Requirements
5+ years of work experience in a fast-paced and diverse environment, preferable within the start-up industry
Fluent in English with good written and verbal communications skills.
A track record of successful project management achievements and demonstrated ability to be proactive and take initiative
Proven strong ability to grasp and summarize complex discussions
Strong organizational and stakeholder management skills
Handle sensitive information with utmost confidentiality
Technologically adept with a strong aptitude for learning new tools
Want to be in the role for a couple of years (see it as a career in itself)
Paralegal experience is a plus but not a must
Understands and uses AI tools like chatGPT is a strong plus

Not required:
You don't have to know Swedish at all (daily work is carried out in English and the Mentimeter team currently boasts 40+ different nationalities!)
