We are now looking for an executive assistant to work with EVP Legal, General Counsel in close cooperation with our legal team and the GLT Assistant Forum. In this role you will be a key person in ensuring the smooth operation of our office and supporting the success of our senior leadership team.
One of your main tasks will be organizing the Group Leadership Team meetings and coordinating the material for these meetings. You will also act as Office manager for our Stockholm office and are the face towards the employees, meaning you are accessible to colleagues having feedback and you drive change for office environment improvements.
Your daily tasks and main responsibilities will include:
planning and coordination of Group Leadership Team annual clock; scheduling monthly meetings, planning, and coordinating the agendas and different materials via Director’s Desk.
ensuring quality support to our EVP Legal and General Counsel; including necessary travel coordination, bookings and logistics, expense claims
overseeing the day-to-day operations and handling the practicalities of our WTC office
creating and implementing office policies and procedures to ensure that the office operates efficiently and complies with regulations and best practices as we want everybody to feel safe at work every day.
Your location will be Stockholm and you will report to EVP, Legal and General Counsel. The position may include some travelling. We apply hybrid way of working meaning you can have a mix of working from home and in the office. We expect you to be in the office at least on a weekly basis.
Who are we looking for?
To thrive and succeed in this role you need to be flexible and feel comfortable in working towards critical deadlines and you can manage multiple priorities in a fast-paced environment. Your proficiency is based on bachelor’s degree in business administration or other relevant area. You have several years of experience from working at executive level where multi-tasking and quick changes in priorities and schedules has been a part of daily work.
As you will be handling confidential information you must possess a high level of integrity and discretion and have a professional approach in all interactions with others.
Skills we expect you to have:
You are comfortable with technology - including email, calendar programs and other software programs used in an office environment such as Microsoft Office, Teams, SAP, and SharePoint
You are solution and detail oriented with strong collaboration skills
Experience from coordinating and assisting with different company-wide events is a plus
Fluency in Swedish and English is a must and other languages are an asset
