The Project Support & Administration Directorate at the European Spallation Source ERIC in Lund, Sweden, invites applications for a Facility Project and Contract Coordinator
Description of directorate/division
The General Services Division is responsible for ESS offices, workshops and labs including facility services, office planning, reception and back-office support.
Main responsibilities
As Facility Project and Contract Coordinator, you will be part of the General Services team, providing support to and assuring the effective and safe usage of all ESS facilities. You will be working closely together with the facility management function in meeting the requirements and needs of the organization regarding offices, technical areas, workshops and labs.
Managing the short and long-term office planning, providing an efficient and safe working environment for ESS employees and project activities, actively working with contract management and supplier relations will be some of your key tasks - this to ensure facility management and general services needs are being met. You will also act as primary contact towards landlords and service providers and support the facility management function with contracting of third party facility services.
As Facility Project and Contract Coordinator, you will be expected to manage both smaller and larger moving and refurbishment projects. You will prepare business cases and documentation for decisions and support the facility management function in developing processes and requirements for procuring future services and systems.

Qualifications
You have a university degree and several years of experience working with facility coordination including procurement, developing requirements, service and contract administration. Training and experience from project management is required, as is the ability to work on a strategical as well as practical level.
The role requires a holistic mindset and a solution oriented approach to manage a variety of activities, projects and tasks. As the work consists of service to the organization, you are able to handle stressful situations and know how to prioritize the work. You are a team player using your sound judgement when making decisions. You handle both internal and external relations in a professional and collaborative manner.
To be successful you have very good interpersonal skills and can easily communicate in both Swedish and English, in writing as well as verbally. Knowledge of other European languages would be an advantage.
The computer is a daily tool and you are an experienced user of MS Office. You should also have knowledge of working with IT to a high standard of excellence. As the work requires regular visits to ESS different locations, driver’s license B is required.

Duration & Location
The position is permanent with six months’ initial probationary period. Your work place will be situated in Lund, Sweden.
