Under the overall supervision of the Associate Academic Dean of WMU, the post-holder is expected to provide administrative support for the activities and delivery of the University’s MSc teaching programme. The post-holder is expected to provide a wide range of operational, administrative and secretarial support to the Associate Academic Dean, required liaison services between faculty members and students, external contacts with various organizations, assist in keeping WMU positioned as an academic institution of excellence and help advance the institution and its reputation.
Specific duties for the Faculty Assistant include the following functions:
• Assisting the Vice-President Academic, Associate Academic Dean and Faculty, supporting students, collaborating with Registry, arrangements with Visiting Professors and Field Study planning;
• Engaging with Students, Faculty, Academic Management, Registry and Administrative management internally;
• Engaging with Visiting Professors annually, planning with country hosts for the several Field Studies visits, and negotiating with hotel sales managers and travel agents;
• Communication of grade results to the Registry and to students;
• Assisting in the planning and maintaining of the academic schedules;
• Developing, managing and updating the Faculty Portal and Faculty Manual;
• Prepare samples and appropriate documentation concerning course descriptions and assessments,
dissertations and other material for the External Examiners annual audit of the MSc programme;
• Serve as focal point for academic management during the academic year and with respect to each subject cycle;
• Undertake secretarial and administrative tasks related to the MSc programme.
Qualifications
• University degree (BA/BSc) or a post-high school technical education in a related field;
• Have a minimum of three years of experience in administrative tasks (desirable in higher education
academic environments);
• Fluent in spoken and written English;
• Excellent oral and written communication and interpersonal skills;
• Be pro-active and have the ability to work effectively and accurately with little guidance and
supervision;
• Be able to work in an international environment with English as the primary language and as part of a
team;
• Be flexible in coordinating multiple projects and meeting deadlines;
• Have effective communication skills in an international and multi-cultural academic environment;
• Demonstrate confidentiality, flexibility, motivation, enthusiasm, discretion and tact;
• Strong computer skills.
