Department: Finance / Human Resources Job Title: Finance and HR Administrator Reports to Functional: Local Financial Accountant and HR Manager (UK based) Subordinates: None Internal Relationships: All Nordic employees, Managers in Finance and UK HR team, Nordic Operations Manager External Relationships: Service Providers, Government Departments, Other Employers, Candidates as recruitment demands. Responsibilities: Financial Administration including: Reconciling bank accounts Creating the monthly VAT report before sending the returns. Supporting the Financial Accountant with Credit Control duties as necessary. Payroll Posting in the absence of the Financial Accountant, Account payable, Admin of staff expenses etc. HR Administration including: Manage local recruitment process Local Induction of new employees. Provide advice and support to managers on a variety of day to day HR related issues. Maintain consistent employee relations in line with Corporate policy and local custom/law. Advise on local Discipline & Grievance Procedures. Coordinate preparation of offer letters, contracts and variations to contracts. Ensure Personnel files and HR Databases are updated. Produce reports and Management Information as required. Training & Development support and administration. Administration and support of PMP Process. Support in the implementation of H&S Policy. Act as backup support for Payroll. Coordinate Facilities Management and H&S Project Support on HR & Non-HR Office. Administrative Activities as necessary. General administration: Answer office phone and direct calls. Open office mail, distribute etc. Over all responsibility for office facilities, Order office supplies, stamps etc. Contact person for travel booking. Authorities: Recruitment & Selection. Agree training needs. Offer letters, contracts and variations to contracts in conjunction with UK HR team. Skills Required: General knowledge of Swedish Tax regulations. Good working knowledge of project accounting & administration. General knowledge of Swedish employment legislation. Analytical & numerical skills. Communication and presentation skills. Strong administrative ability. PC Literacy. Membership of Professional Industry Body (desirable).
