About the role
As a Governance Administrator at the European Spallation Source (ESS) you will work within the Governance Office (GO) and under the responsibility of the Governance Office Lead. In the role you shall provide high level administrative and organizational support within the GO and be a point of contact for the members of the Governance bodies, enabling good communication between them and ESS Management.
As a Governance Administrator your major responsibilities include:
A: Planning, preparation, and coordination of advisory committee meetings
- Scheduling (Doodle pools, outlook invites, Governance and other ESS calendars, meeting and repository tool (Indico)
- Supporting the GO Lead in developing and distributing materials and presentations and upload them in Indico
- Organizing pre-meetings (dry-runs)
- Maintaining the delegate database and acting as a point of contact for committee members
- Supporting the GO Assistant with the logistics for all meetings (booking meeting rooms, organizing meals and site–visits, making travel arrangements for the committee members etc.) interfacing with IT, Visits and Facility Management for support before and during the meetings
B: Record Keeping
- Prepare the structure of the minutes and of other meeting documentation, assisting the GO Lead with focus on level of detail, consistency, alignment with stakeholder expectations, recording of actions required etc. Store, maintain and retrieve the advisory committees´ documents/records
- Ensure confidentiality
This recruitment process is a collaboration with Adecco. The role as Governance Administrator is a consultant assignment with starting date as soon as possible and will proceed during a period of 4-6 months. The office is based in Lund.
About you
You thrive in international environments with all connected incentives and challenges and have very good oral and written English skills. Experience of workning in an international enviroment and intercultural skills are essential. You are flexible, adaptive and pro-active. You are able and happy to handle a wide spectrum of tasks, from high to low and have the ability to work under pressure. As a person you are responsible, well-structured, and you have an ability to organize and prioritize. You have an eye for details and are a true team player.
Important for the role:
- Appropriate academic background and/or several years of experience in administrative roles
- Have experience of working for organisations with member state representation is a plus
- Professional user of Microsoft Office and quick learner of new software tools
