Hays seeks a Facilities Assistant for EFM

We are a National Property Management and Facilities Group wholly owned by Boultbee, with an impressive shopping centre and commercial property portfolio throughout Scandinavia and the UK, the majority of which we own.In addition we manage UK & Nordic funds for investors.Currently we own and manage approximately 50 shopping centres.Hays seeks a Facilities Assistant for EFM facilities in Västermalmsgallerian EFM manages 28 shopping centres around Sweden.EFM is rapidly expanding and as a result, they are now looking to take on board a Facilities Assistant to assist a facilities team for Stockholm and to manage faults from tenants in all shopping centres around Sweden.The Role: Your main duties would be to administrate and coordinate faults from tenants.You will be responsible for the whole process, from taking an order to sending technicians to the right place.The ability to be structured and organized is a prerequisite for this role, as you will be coordinating the Maintenance Technicians' day-to-day activities.You will also be assisting the Facilities team for Stockholm, the Area Facilities Manager as well as two Property Surveyors with various tasks. Main responsibilities include: .administrate and coordinate faults from tenants and be point of contact for tenants .make sure that the Maintenance Technicians' days are structured .maintain all the administration and documentation required .process invoices .responsible for the maintenance of the office equipment, replacement and auditing of stationery consumables .assist the Facilities team with various tasks .PA for AFM and two Property Surveyors Qualifications: .proven administrative experience in a similar environment .excellent computer skills, MS Office .fluent in English and Swedish, both oral and written is mandatory .experience from working within the property/ retail sector is greatly beneficial The Person: We are looking for an individual who can work as part of a team but take lots of own initiative and responsibility.You are highly structured, organized and comfortable in an evolving and dynamic environment.Since you are the point of contact to tenants it is important that you are outgoing, service minded, responsible and flexible.Startdate: As soon as possible.To Apply: In this recruitment EFM Sverige AB is working with Hays.
