The Communications, External Relations & IKC Division at the European Spallation Source (ESS) in Lund, Sweden, invites applications for an In-kind Officer.
Description of directorate/division
The Communications, External Relations & IKC Division supports ESS in achieving its mission by developing and executing communications on multiple levels of interaction and engagement. These activities are carried out in cooperation with internal and external stakeholders, strengthening the collaborative spirit of the ESS project even further.
The In-Kind Management Group’s role is to manage and facilitate the execution of In-Kind Collaborations between Partner Institutes and ESS ERIC using standardised In-Kind Processes and Procedures, Technical Annexes, and In-Kind Agreements.
The In-Kind Management Group holds sole responsibility for tracking and reporting the status of all In-Kind Contributions ongoing at ESS, spanning four different projects (Accelerator, NSS, Target, ICS). The amalgamation of multiple different methods ESS partners use towards handling In-Kind, offers a substantial challenge to a consistent approach required by ESS. It is In-Kind Management’s Group’s task to overcome these challenges by bridging differences within European business practices.
In-Kind Management Group also participates in multi-faceted external stakeholder management on a daily basis. These include, but are not limited to Partner Day events, Best Practices workshops, VAT workshops, and a myriad of other, similar events.
Lastly, In-Kind Management Group offers support and guidance to aforementioned internal ESS projects currently involved with In-Kind Collaboration. The Group organizes and executes internal stakeholder status meetings on a weekly basis. Furthermore, the Group is in charge of organizing and executing the In-Kind Review Committee meetings.
Description of main responsibilities
• Management of in-kind contributions from member countries working closely with Partner institutes and ESS directorates.
• Ensure successful implementation of In-Kind deliveries by supporting quality and risk management.
• Create, implement, maintain and continuously improve the In-Kind Management process.
• Coordinate ESS activities with In-Kind partners and Member Countries.
• Create and execute strategy for handling partnerships.
• Work with internal ESS units on Legal, Procurement and Projects issues.
• Support the Divisions in the day-to-day work with contracts and partnerships as well as participate in other activities performed in the ESS Programme.
• Maintenance of In-Kind data management systems and on-line appearance.
• Coordination of information exchange with Industrial Liaison Officer network and Field Coordinators in Member Countries .
Qualifications
• Minimum 2-years experience with in-kind environment preferably at a Research Infrastructure, experience of In-kind Management at ESS is a merit.
• Database management.
• Experience of working in an international environment is essential.
• Excellent oral and written English skills are a prerequisite; knowledge of other European languages would be an advantage.
• Experience with project management and/or procurement and/or Quality Management would be an advantage.
