The Librarian is responsible for managing the library and research services and maintenance of their collections, and for the archiving of key institutional documents for the Institute.Context: The Librarian reports directly to the Head of Communications and provides librarian, archiving and research services.Providing adequate services will ensure that materials are current and accessible, and available to users when required. 1.Duties and Responsibilities: Under the immediate supervision of the Head of Communications, the incumbent performs the following duties: ?Provides effective access to the library collections and Archives in accordance with the established records management policies; ?Manages the planning, administrative and budgetary functions of the Library and information services; ?Organises and maintains the Library, the Archives and it?s collections; catalogues and indexes documents and new acquisitions; ?Provides a library loan service for both book and audiovisual materials and maintains records; ?Prepares reports related to information services, technology and media services, resources and activities , sending information of potential interest to staff; ?Assists staff with research questions, and demonstrates Library services; ?Updates and maintains the Library and Archive Intranet pages; ?Keeps abreast of developments in library, archiving and documentation services; ?Creates new and/or further develops existing IDEA management record policies;?Assists staff with registering documents and advises on how to prepare documents and dossiers/files for archiving Basic qualification requirements: 2.1 Level and type of formal education: ?University degree in Librarianship, information management or equivalent. 2.2 Professional experience: ?Minimum of 5 years experience working in a Library; ?Extensive knowledge and experience in cataloguing, interlibrary loan systems and online services; ?Extensive experience in managing the administration and financial aspect of a library including budgeting, expenditure and contracting subscription services for databases and periodicals; ?Work experience in an international organization or context, especially in political science or equivalent, would be an advantage.2.3 Functional competencies: ?Excellent organising skills; ?Ability to work both independently, with minimum supervision and in a team setting; ?Service oriented, ability to multi task and prioritize; ?Excellent interpersonal skills; ?Ability to operate effectively in a multi-cultural environment and be Gender-sensitive.2.4 Language skills: ?English: Fluent written and oral; ?Swedish: Good knowledge written and oral; ?Other: Any other widely spoken language in an International IDEA priority region would also be an asset. 2.10 Computer skills: ?Advanced skills in online library and documentation services; ?Good knowledge of computer applications/packages ?word processing, spreadsheets PowerPoint, and databases ?online searching; ?Knowledge of MARC21 would be an advantage; ?Knowledge of Access/other database management.
