SIPRI is seeking a full-time Management Assistant. This position is part of the team that supports the strategic leadership of the institute. The Management Assistant contributes to the operations and development of the institute by providing efficient administrative support to the Director’s Office under the supervision of the Head of the Director’s Office.
Tasks and responsibilities:
• Perform administrative tasks in support of the Director and the Deputy Director as requested, which includes but is not limited to responding to the Director’s email and managing the Director’s calendar under the guidance of the Head of the Director’s Office;
• Assist with the organisation of events, meetings, visiting delegations, especially those involving the Director and/or Deputy Director;
• Provide administrative support to the SIPRI Governing Board and its Chair as directed by the Deputy Director and the Coordination Officer;
• Other tasks as appropriate and as workload allows.
Like all staff, the Management Assistant will play an active role in the collective life of the Institute.
Eligibility requirements
The Management Assistant is a flexible, thorough and discreet person with a friendly personality and a solution-oriented attitude. S/he has an eye for detail along with a talent for multitasking and thinking ahead.
When starting in post, the Management Assistant should have as a minimum the following experience:
• A university degree in a relevant discipline;
• Excellent written and oral communications skills in both Swedish and English; and
• 1–2 years of work experience from administrative work and matters of practical logistics.
Familiarity with SIPRI’s research areas is a plus but not a requirement.
The Management Assistant should possess the following qualities:
• Good interpersonal skills
• Professional and service-minded, cooperative and flexible
• Highly motivated
• Able to work independently and as a part of a team
• Maintain a calm and positive attitude when working in a fast-paced environment
• Pay high attention to detail
Contract period
This is a permanent position, with a 6-month probationary period. The post is full-time.
The post requires that the candidate is a resident in Stockholm, Sweden, when employment starts. The salary package will be negotiated individually.
Starting from 1 April, or as soon as possible thereafter.
