About the role
We’re looking for a Management Assistant and Project Portfolio Administrator within the business area Operating Room (OR) Solutions to work directly with Vice Presidents whilst also supporting wider core Senior Managers. The position is based at our Head Office in Gothenburg.
As a Management Assistant and Project Portfolio Administrator you will support the Global R&D OR Solution business area with proactive administration which will allow them to manage their roles more efficiently.
You are an efficient and detail-oriented individual who can manage multiple top priorities at once, including but not limited to 1st line group managers, manage meetings and events, administrative tasks, organization and operation support assistance. This role is perfect for you who likes to take initiative and can drive your own processes.

Things you'll be responsible for
Support several VP’s and other core Senior Managers within the OR Solutions organization.
Provide dedicated support and prepare for everyday scenarios that come your way.
Perform administrative activities and special projects in a timely manner and to the highest of quality.
Organize and run events and projects relevant to area of work.
Maintain and organize diary management resolving priorities, filing and all other relevant areas as necessary and manage travel arrangements.
Support the senior Managers in making informed decisions by collecting and providing required information from other function individuals and business support systems such as PLM system, Power BI as well as the Project management and portfolio system
Ensuring that required information in the systems is complete in time
Providing reports from the relevant business systems
Schedule meetings, arranging technology, refreshments, and taking minutes if required to do so.
Cooperate and coordinate with administrative assistants in other departments to handle temporary work overloads and fill in for temporary absences.

Relevant experience within a similar role
Experience of handling multiple demands and successfully prioritizing workload
Experience in managing projects as well as in preparing data and presentations
Organized and dedicated with excellent co- ordination and prioritization skills
Able to work autonomously, with minimal supervision and take initiative
Collaborative, great teammate, ability to form good relationships with colleagues
Excellent computer skills (Word, Power point, Excel, Outlook)
A flexible approach to work in order to meet the demands of the role and the business
Fluency in Swedish and English – both verbal and written
Experienced in dealing with business relevant tools and systems
