Key Responsibilities
Real Estate & Facility
Responsibility for all Nordic office locations incl. rental negotiations and office moves
Receives, process and responds to requests for facilities maintenance service and work activities in the offices
Assigns request to internal facilities team or initiates requests for service from outside vendors
Dispatches service request to the designated employee or service provider and documentation completed
Oversees and/or backs up mail operation as required. This includes mail distribution, shipping and receiving activities, and ordering and stocking supplies
Provides internal management with regular reports as to maintenance performed at designated facilities and evaluates service quality and timeliness of work performed
Maintains close working relationships with tenants, vendors as well as internal service providers
Implementation of occupational safety measures
Harmonization of contracts, processes and European policies
Monitoring compliance with operator liability, taking into account the statutory provisions
Fleet Management
Handling and negotiation with the fleet company
Negotiation with car manufacturers
Support and advice employees on their new company car choice
Handling and negotiation insurance contract, management of claims
Car quotation
Car Policy maintenance and rollout
Reporting
Insurances
Bargaining local insurances contract: management of claims.
Mobile & Landline Phones:
Negotiations of frame contracts
Adapting Global and EMEA rules to the Nordics
Qualifications & Skills
High School Diploma or equivalent
Minimum of 3 years of related experience
Commercial training or comparable qualification
Several years of experience in a comparable management position
Experience in leading people from remote
Strong communication personality
You have very good English skills (spoken and written)
You have good knowledge of MS Office (Outlook, Excel, Word) - "software affinity", as well as experience in creating reports and data analysis
Negotiating skills, cost awareness and organizational talent
