Your role
The Office coordinator & Loss prevention officer will have the following main responsibilities and reports directly to our Head of Engineering & Site manager Malmö. You will also have a dotted line to Head of Security in your role as Loss prevention officer, which corresponds to 20% of your working time.

You will be the first point of contact to all managers and internal stakeholders when it comes to internal moves, new placements and new team structures (for workplace). You will also assist with office design, manage layout & interior design planning. In short, you will ensure that the office space is open, available, and well-ordered during our regular office hours. We also foresee that you will develop our current office procedures and ensure they are implemented appropriately. In your role you will enjoy driving the local site council meetings and when needed you will oversee and support with administrative duties in the office in Malmö and ensure a smooth operation where required. As the main contact towards the property owner, you will identify opportunities for process and office management improvements. Finally yet importantly, you will work closely with our health protection officer on work environment related topics and drive the Health &Safety forums at site.
In your role as Loss prevention officer, you will master the following duties:
You carry the responsibility for managing, planning, supporting and controlling preventive fire protection work and ensure internal and external compliance. Moreover, you are expected to plan and implement systematic audits regarding fire protection and loss prevention work and to establish and revise documentation within the field. Errors and deficiencies in regards to fire protection and loss prevention work will be reported by you where needed. Supporting our operations and auditors at Saab Loss Prevention surveys and working on follow-ups as well leading and coordinating fire protection work connected to local events are other interesting tasks in this role. We also see that you will find enjoyment in establishing and maintaining good relations with local emergency services and ensuring that affected staff has the right training within the area of fire protection is a prerequisite. You will also be the first point of contact for external and internal audits and participate in relevant forums related to site (e.g. local site councils). You will play an important role when it comes to supporting the Loss Prevention officer at Group Security during audit activities related to Malmö (and later on our new site in Lund).
Your profile
You will be the best match with us if you bring the following experience and skills:
At least 5 years of work experience in a similar role would be great for this role as well as relevant education and background in related field (and most importantly: having fun with above mentioned tasks!). We see an extremely organized and structured person joining us, with excellent time management skills. You are good at anticipating common issues and problems beforehand and can deal with them or escalate/delegate as needed. Being able to manage multiple projects simultaneously is an important ability in this role and if you have a strong problem-solving attitude on top of that, you will shine in this role. It is beneficial if you bring project management skills. Moreover, it will be vital for your well-being that you are comfortable in a high technological working environment. We see you as a structured self-starter with excellent communication and interpersonal skills. Excellent Swedish skills are necessary.
This position requires that you pass a security vetting based on the current regulations around/of security protection. For positions requiring security clearance additional obligations on citizenship may apply.
