Arbetsbeskrivning
We have an opportunity for an office based Office Facilities Manager.
The main responsibilities are:
Communication
Keeping contact with the building management and maintenance team
Managing corporate email addresses and distributing emails as necessary
Liaising with the security company in case of emergency
Liaising with various maintenance and companies
Communication with couriers and shipments, liaising with the courier company and keeping a register of shipments
Purchasing
Handling invoices, reimbursements, cash and advance payments.
Managing the purchasing procedures
Ordering marketing and PR materials (roll ups, fliers, posters etc.)
Facilities management
Managing the office security entrance cards
Organising of office facilities and equipment (inclusive telecommunications purchase with the exception of IT) and take care of stationary in the office
Manage, communicate and lead building work to ensure minimum disruption to core activities
Making sure that the reception is staffed during office hours
Cross checking facilities contracts and ensuring the correct project coding
Negotiating and administrating contracts with hotels, travel agencies suppliers, cleaning company and managing contract expiration and renewals
Ensuring the optimization of shelving and storage space for the clinical department
Organising document processing and destruction according to company policy
Requirements
Bachelor's degree or equivalent
+ 2 years' experience on a similar role, incorporating facilities management
+4 years' experience in office management/facilities (preferably in a multinational company)
Excellent spoken and written Swedish and English
A good working knowledge of Microsoft Office and Outlook, able to use Internet for research and other work purposes (mandatory)
Experience in working with Electronic Document systems (preferable)
Experience in providing all round administrative support in a global office environment (preferable)
