We are a diverse and fast-growing team with our headquarters in central Malmö. As we are growing and scaling, we're on the hunt for an awesome Office Manager to join our team, with the purpose to help us create the best office possible.
About the role
As an Office Manager at Joint Academy, you will be responsible for the general operation of our office, as well as supporting the organisation in a variety of tasks related to administration, event management, office procedures and work environment. You will play a key role in ensuring a safe and pleasant work environment, with a high level of organisational effectiveness, communication and physical safety.
Your main responsibilities will include:
Responsibility for keeping the office running smoothly
Providing administrative support across the company
Manage relationships, contracts and negotiations with vendors, service providers and landlord
Plan and organize company events; both on-site and digital
Support the People & Culture team in identified projects
Develop and implement office policies
Manage security services and being the first point of contact for the alarm
Responsibility for office supplies and purchase of work equipment
Organize and schedule meetings and appointments
Provide general support to visitors
Assist in the onboarding process for new hires
Managing health, safety and fire safety procedures; ensuring we are compliant with legislation, arranging trainings and establishing standards and procedures
Project manage a future move to new facilities
Requirements
Previous experience in an office administration or office management role
Experience in handling a wide range of administrative support
Strong organizational and planning skills
Experience of dealing with and maximizing service from external suppliers
Good knowledge of the Swedish work environment laws and regulations
Excellent written and verbal communication skills in Swedish and in English
Experience with a variety of software tools, especially G Suite
Knowledge of HR, payroll and finance practices and processes is a plus
Experience from a high growth start-up or scale-up environment is a big bonus
