Office Manager

PinMeTo helps businesses get discovered, found, and verified on the biggest search, map, and social media platforms.

Our online Software as a Service (SaaS) platform makes sure all of a chain or franchise’s locations can be found on multiple search, map, and social media platforms, including Apple, Facebook, Google, Instagram, Twitter, Foursquare, and many more.

Having left the startup phase, we are now scaling up with market presence in order to deliver our unique product to world leading brands. We are therefore in search of a Office Manager. This position will be based at our office in Sopot, Poland.

About the job & the team:
You will be responsible for the efficient functioning of an office through a range of administrative and financial tasks:

Administrational responsibilities:

- Assist in the onboarding process for new hires & preparing documents for new employees
- Keeping track of office supplies
- Ordering office equipment,
- Maintaining the office condition and arranging necessary repairs
- Conducting research on ongoing projects (eg. new accounting company, new office etc.),
- Point of contact for HR/Administration team.
- Translating internal documents and marketing materials, English -Polish
- Admin support for Country Manager eg preparing sales presentations


Financial responsibilities:

- Issuing and sending invoices to customers,
- Resolving discrepancies and reacting to customer queries related to invoicing,
- Applying payments in system
- Following up with customers on overdue payments,
- Point of contact for external and internal accountants.


Your profile:

- Proven work experience as an Administrative Officer, Administrator or similar role
- Solid knowledge of office procedures
- Experience with office management software l
- Strong organization skills with a problem-solving attitude
- Excellent written and verbal communication skills in Polish and English
- Attention to detail
