About the position
The Office Manager is responsible for the efficient and effective running of the Defence Office at the Australian Embassy in Stockholm. The position provides Office Management, Research and Finance Officer support to the Defence Office, primarily for the Defence Attaché to support their engagement with Northern European Defence, Government, and industry organisations on matters relating to the bilateral defence relationship.
The key responsibilities of the position include, but are not limited to:
Coordination of all Defence office corporate governance activities, including financial management and personnel support
In consultation with the Defence Attaché, supervise and assist in the management and performance of other Locally Engaged office staff
Supervision of administrative and financial responsibilities exercised by all office staff
Oversight of information management systems
Assist the Defence staff and act as the point of contact during absences
Manage the office and budgets including: providing budget forecasts and estimates, monitoring of expenditure, end of month reconciliations and the provision of periodic and ad-hoc reports as required
Prepare and submit Fringe Benefit Tax returns
Collection and collation of information in support of Embassy reporting requirements and Defence engagement activities
Coordination of routine information exchange process with Northern European agencies
Action officer for specified Australian defence engagement activities
Liaison and planning support to military heritage commemorative events
Translation and interpreting tasks and diary and event management as required


Qualifications/Experience
Knowledge/understanding of financial transaction, calculations, budgeting and finance skills as appropriate
Knowledge or understanding of Defence role in the government and how it relates to business in Sweden would be desirable
Excellent written and spoken communication skills in English is essential and Swedish highly desirable
Intermediate to advance level in Excel with an understanding of Microsoft Office suite
Proficient administration skills, including ability to collage information for reporting purposes
Demonstrated prior supervisory experience desirable
Demonstrated ability to build productive relationships and work effectively in a small team

A. Demonstrated experience generating and analysing financial and management accounting reports, including preparing month end documentation according to relevant internal policy and completing appropriate investigations.
B. Ability to undertake research, using multiple resources, and present findings to senior management in an appropriate manner and with the assistance Microsoft Office suite.
C. Ability to take initiative, set priorities and organise work effectively and efficiently, and to complete projects and assignments both with limited supervision and within a team environment.
D. Ability to liaise effectively with internal and external stakeholders, demonstrating excellent interpersonal skills, including building and maintaining a strong network and effective stakeholder relations.
E. High level of proficiency in the use of Microsoft Office suite, including advanced level MS Excel skills. Ability to generate appropriate reports interrogate data and provide analysis.
