What does an office manager do?

An Office Manager completes a variety of administrative tasks connected to the office and the Office Manager is responsible for maintaining and working for a pleasant and sustainable office environment. The duties include contact with vendors and the landlord, purchasing of office supplies, providing support in meeting and conference coordination and to be of administrative assistant to new employees and the General Manager. Furthermore, the Office Manager assists the Pharmaceutical Affairs team with complaints handling and other administrative tasks.

In your role as an Office Manager your main tasks will conclude

Office Management
• Ordering of office supplies and coffee
• Contact with the cleaning company and electricity vendor
• Keep the phone exchange up to date
• Administrate phone subscriptions, credit cards, key cards, and lockers to new employees
• Ordering and handling packages from and to the office
• Ordering change of waste containers
• Contact with landlord in connection to sustainability data related to the office
• Purchasing and maintenance of flowers and purchasing of fruit and/or snacks to the office
• Contact with IT department
• Support in the coordination and logistics of meetings, trainings, and conferences
• Ensuring a nice and pleasant working environment at the office
• Archiving

General Manager assistance
• Support in administrating travel expenses and handling of travel bookings to General Manager
• General administrative support to General Manager

Customer complaints handling
• Assisting the Quality Specialist in the complaints handling

The position as Office Manager is as a consultant via Adecco. The position is planned to start January 2022. The position is on 6 months with great opportunity to extension for the right candidate

About you
We look for you who has experience of similar work tasks prior. The most crucial part about you is that can you comprehend an environment in movement. For example, your daily tasks will be everything from setting lunch appointments, being in charge of activities, handle the onboarding process for new employees, handle reclamations etc. You need to be proficient within English, Swedish and Microsoft office to be able to manage the worktasks.
