About the Role:
Are you a proactive and organized individual with a passion for office management and administrative support? If so, we have an exciting opportunity for you as an Office Manager at Chiesi. In this role, you will play a crucial part in ensuring our office operates efficiently, securely, and in a pleasant environment. You will also serve as a personal assistant to our General Manager, support our Finance team, and contribute to various local and corporate projects.
This role is as a consultant via Adecco with planned start within immediate affect and will initially go on for 6 months. For the right candidate there are possibilities for extension.
Key Responsibilities:
- Ensure the Chiesi office is well-equipped to support business needs and employee comfort.
- Manage office supplies, ergonomic workspace arrangements, and office guidelines.
- Collaborate with IT to maintain common equipment and functionality.
- Gather and address feedback on office comfort and take initiative for improvements.
- Coordinate with security and IT for office security measures.
- Liaise with GM/HR for escalated issues requiring decisions/budget.
- Support internal events, meetings, and conferences logistics.
- Assist in onboarding new colleagues, including administrative tasks and ordering flowers for their first day.
- Manage relationships with office service vendors.
- Report sustainability data quarterly for the Chiesi office.
- Handle the switchboard service.
- Receive and manage post and packages.
- Order changes for waste containers.
- Handle archiving tasks.
Personal Assistant to the General Manager:
- Manage the GM´s daily agenda and resolve schedule conflicts.
- Arrange business trips and report travel expenses.
- Assist in preparing PowerPoint presentations.
- Coordinate annual conferences and management events.
- Provide general administrative support to the General Manager.
Finance Support:
- Handle Purchasing Requisitions and Goods/Services Receipts in SAP related to the cost centers of our General Manager and other Supporting Functions.

Qualifications
In order to excel in this role we believe that you
- Have previous experience as an office manager in matrix organisation
- Have well equipped language skills in both Swedish and English
- Can comprehend a digital atmosphere with tools like MS Office effortlessly
