Eataly Stockholm is looking for an Office Supervisor to join our team in the heart of Stockholm!

Authority & responsibility
In the role of Office Supervisor, you will be responsible for supporting the store in the administration of its daily operations. You will have a varied role where two days will never be the same: your work will vary from being involved in ordering stock and certifying invoices, to supporting HR, to working closely with the Facility Managers on matters of Fire protection & safety and more.
Through this range of activities, you will familiarize yourself with your department and the store's goals and you will also contribute to the development of the business through reflection, innovative thinking, and cost-effective solutions for the store.


Economic/IT
Being responsible of purchase consumables for the store, working closely with the Warehouse supervisor, and always staying updated on the stock balance.
Being responsible for all of the store´s agreements with partner companies.
Certifying invoices, being responsible for certain accounts like collateral, consumables, IT, laundry, utensils, and staff clothing.
Being responsible for the store's IT tech/IT environment, phones, and the store's voice message, contact Eataly’s IT department in Italy.
Being responsible for our tills, printers, and payment terminals, administering all sales systems, both hardware and software.



Safety
Acting as the contact person for the security company and the police, security admin both in our security system, cameras and in TC-POS.
Working as one of the store fire protection controllers, running monthly fire controls and carrying out basic fire checks every day. Training or assisting the staff in fire protection work.
Acting as one of the appointed responsible for the fire alarm and contact for S.O.S.



Other responsibilities
To be the store's contact for the waste companies that pick up the store's garbage.
To be responsible for the Italy goods transport, as contact with the transport company.
Being responsible for the office, for the routines for handling the post, machines, and office supplies.
Submitting ongoing reporting to different agencies, authorities and companies.
To be the store's contact with the National Food Administration for all of the market's various products. Ensure that the labels on the products in the market are correct and follow current requirements and laws.
Supporting the Facility department when applying for different permits and other admin work.
Supporting the departments during various events taking place in the store.
Supporting HR department with ordering badges, lookers and other admin work.



Requirements:
- At least 2 years of experience in roles performing similar tasks
- Very good knowledge of Swedish and English
