Arbetsbeskrivning
Avalanche Studios Group has been growing and evolving for the better part of two decades, and we’re not about to slow down! To help create and maintain a world-class workplace experience for 350+ employees in our Stockholm location, we’re now looking for an Office Team Lead who is passionate about creating ideal conditions for wellbeing, efficiency, and stability in a creative and fast-paced environment.
You’ll join the Office team in Stockholm where you’ll work alongside our three Office Coordinators and report to the Location Manager. You’ll also be a part of our global Operations team, with the opportunity to impact and improve our ways of working worldwide through cross-functional coordination with IT, People, Finance and Communications teams. As a part of the Office team, you oversee our facilities in Stockholm and make sure that the office is welcoming, tidy, and fit for current as well as future needs. This includes coordination of fire safety and office security procedures.
The tasks of the Office team are diverse and touch upon many areas throughout the organization, which is why you’ll play a significant role in making Avalanche Studios Group a great place to work. You’ll take part in internal projects related to wellness initiatives, on- and offboarding processes, contract management, company travel, and event planning, to name a few.
To succeed in this role, you are most likely a self-driven and structured person, eager to learn, and great at problem solving. You communicate with ease and clarity, have a service-minded attitude and can balance professionalism with personality. Furthermore, you’re dedicated to your work and enjoy building strong relationships with colleagues as well as external partners.
What you’ll do
- Run daily stand up meetings within the team to ensure progress of tasks, projects, and incoming requests
- Ensure that the facilities are in tip-top condition with assistance from team members, janitors, landlord, and vendors
- Manage the reception 8 AM to 5 PM per our weekly schedule: welcome visitors, handle incoming and outgoing calls/post/couriers, and help with various bookings/orders as needed
- Ensure that the first impression in the reception is as professional as it is friendly, and that daily routines are followed
- Provide extraordinary service and support to our teams and management
- Make sure that our systematic fire safety protocol is followed and that changes are made when needed
- Act as point of contact for vendors such as cleaning, office supplies and recycling to make sure that we have sustainable and cost-effective solutions in place
- Run project management and coordination related to office space and seating planning, making sure that any changes are reflected in our workplace management system and collaborate with IT around workstations and meeting rooms
- Oversee Office-related on- and offboarding tasks and procedures to make sure that we constantly strive to improve the full employee experience
- Assist the Location Manager in budget- and forecast planning and report potential risks
Who you are
- You have 3-5 years experience of a similar role, preferably in a creative, dynamic and international environment
- You’re an eager self-starter who thrives in a fast-paced environment where you can juggle proactive planning with pragmatic problem solving
- You are a reliable and structured person with a clear sense of ownership
- You are proud of being service minded and have excellent communication skills with an ability to build strong relationships through your fine tuned professionalism
- You are curious and genuinely interested in how we can make sure to contribute with a world-class workplace experience for our employees
- You have an eye for detail and are not afraid to challenge yourself or the status quo when there’s room for improvement
- You are a team player with a growth mindset and believe that transparency, cooperation and engagement are key to succeeding as a team
- You’re fluent in English and have great knowledge in Swedish (native not required)
If you’ve read this far thinking “yes, yes, yes” - we’d love to hear from you!
