We are offering an exciting opportunity as a P2P Project Administrator to be an important part in paving the way for Vattenfall and its customers and partners towards fossil freedom!
As our new P2P Project Administrator you will contribute to a fossil free future by ensuring a high-quality, compliant and swift execution of the Procure-to-Pay process in Offshore Wind Projects. You will be in charge of supporting the whole Procure-to-Pay process which includes managing requests for purchase requisitions, reviewing and coding incoming invoices, managing approval processes, and initiating manual payment orders for urgent or significant transactions.
You will be a part of the Project Administration Team, which provides administrative and P2P support to projects in the offshore wind development chain from Market Development to Construction. The projects vary in size from small, medium to large-scale construction projects.
You will report to the Head of Project Administration, but your daily work will be in the project(s) that you support, where you will work closely with the project management team and project team members.
Main responsibilities and tasks
Managing approval form workflows.
Managing purchase requisitions requests.
Managing the invoice approval process, including reviewing and coding invoices.
Interfacing and communicating with project stakeholders.
Initiating manual payment and order-to-cash.
Maintenance of purchase orders.
Contribute to optimizing P2P processes and tools.
Supporting transition to Next Generation ERP (SAP4/Hana).
Ensure the compliance of all Procure-to-Pay activities.
Conducting onboarding of new Offshore project team members to P2P processes.
Location
Work location can be in either Kolding in Denmark or Stockholm in Sweden. Some travel to our other European offices can occur (2-4 times a year).
Qualifications
A relevant educational background in Business Administration, Finance, Purchasing or similar
Professional work experience from a similar role with responsibility in procurement, accounts payable, ideally from construction and/or large-scale projects, preferable in the wind industry
Excellent English communication skills are a must. Skills in Swedish, German, Dutch or Danish are an advantage
Experience in dealing with external and internal stakeholders
Super-user in SAP ERP systems, experience with SAP/4 Hana is an advantage
Advanced knowledge in Microsoft Office suite (in particular: Outlook, SharePoint, MS Teams, Notes, Excel)
